The role of the HR Senior Coordinator will be responsible for overseeing and coordinating activities on daily HR operations. The role will be supporting the full employee cycle including but not limited to employee on/off boarding; payroll, tax filing; HR database; employee engagements; employee compensation and benefits. The HR Senior Coordinator will also manage key compliance process relating to our fee earners’ Law Society compliance obligations with regards to practising certificate applications and renewals. The role will act a first contact point to provide professional HR solutions to internal clients and stakeholders.
Key Responsibilities/Accountabilities
Provide full spectrum HR operations support to the HK office:
manage end-to-end onboarding process such as initiating background check, conflicts check and induction program
manage all the necessary trainings for the new hire
manage end-to-end departure process such as calculating final payment, preparing all related departure documents and scheduling exit interview
Maintain firm’s HR database ie. HRIS (WorkDay), prepare regular HR reports such as headcount reports, office movement reports and cost centre report
Work with the HR Administrator in monthly payroll process for HK and Tokyo office including overtime claim, cost allocation, MPF contributions and regular payroll reports preparation
Maintain payroll system
Assist the local tax filings to compliance local tax requirements from HKIRD
Manage the firm’s rental reimbursement program
Coordinate with the visa company on visa application, renewal and termination to compliance local immigration law
Support inbound/outbound interoffice secondment logistics including visa application, accommodation and tax filing etc.
Coordinate firm’s secondment such as interoffice and/or client-site secondment
Maintain HR filing system, update internal HR webpage, responsible for HR calendar, office newsletter HR session and HR mailbox
Assist employee benefits enrolment, status change, termination; benefits renewals
Assist Agile working application and arrangement
Manage Law Society requirements with regards compliance and registration, including practising certificate applications and renewals, registered foreign lawyer applications and renewals, administrative support for Overseas Lawyers Qualification Examination applications, and reporting change notifications.
Maintain a log of non-HK qualified certificates to ensure the lawyer renews their practicing certificate.
Liaise with the Hong Kong Law Society on the above matters and assist with employee queries
Maintain lawyers’ professional indemnity including prepare the quarterly return regarding change in particulars of lawyers and assist in annual renewal process
Work with the HR manager for annual HR budgeting
Manage the employee leave record and administration including maternity leave, medical leave, annual leave and qualification leave, etc.
Assist end-to-end employee annual performance review process
Support Head of Compensation and Benefits on market salary survey
Support HR Manager and Head of C&B on employee salary and bonus review
Provide professional HR solutions to internal clients/stakeholders
Provide support on driving and executing HR initiatives and projects such as D&I and wellbeing activities
Specific duties or responsibilities may be reviewed from time to time to reflect changes in personnel and management structure, staff location or services.
Qualifications & Experience
High level of organizational skills. An organised and thorough approach to work with good attention to detail.
Ability to manage multiple tasks to deadline, prioritise appropriately with minimum supervision.
Ability to gather, research, analyse and synthesize data and create useful reports.
Excellent interpersonal and communication skills. Ability to work across teams and cultures both face to face and virtually.
Calm and pragmatic approach to problem-solving
Working efficiency in MS Office such as Word, PowerPoint, Excel and iPublish.
Proficiency in HRIS ie. WorkDay operation
Fluent written and spoken English and Chinese.
