Position Overview: The Leave of Absence and Benefits Specialist is responsible for the administration of employee leaves of absence and accommodation requests. They will manage the full cycle of LOA cases, ensuring compliance with federal and state regulations as well as company policies. Additionally, this role will assist in the administration of company benefits programs, providing consultative support to employees, managers, and business partners, while ensuring a strong culture of connection, empathy, and professionalism.
Essential Job Functions:
- Provide end-to-end management of employee leave requests, including FMLA, short-term disability (STD), long-term disability (LTD), ADA accommodations, and state-specific leave programs.
- Serve as the liaison between the employee, leave plan administrator, manager and HR Partner regarding their need for leave, providing education on LOA processes, pay impacts, and benefits continuation while on leave.
- Manage return-to-work processes, ensuring accurate system updates and collaboration with managers.
- Review and evaluate accommodation requests using the interactive ADA process, ensuring legal compliance and best practices.
- Administer employee benefits plans, including medical, dental, vision, life, disability insurance, health savings accounts (HSA), flexible spending accounts (FSA), wellness program (Healthy Bonus), and COBRA.
- Perform benefits enrollment, eligibility reviews, monthly reconciliations of benefits data, and regular audits to ensure accuracy of setup and maintenance of benefits plans in Workday.
- Monitor vendor error logs and perform monthly benefit reconciliations for all lines of coverage.
- Support employees with benefits and leave-related inquiries, providing accurate information and resolving complex issues in a timely manner.
- Collaborate with vendors and internal teams (Payroll, HRIS, etc.) to resolve benefits-related issues, including discrepancies in eligibility, deductions, and claims.
- Prepare and process benefit-related invoices, ensure accurate payroll deductions, and manage premium retro-adjustments.
- Support annual open enrollment and benefits-related acquisitions, ensuring smooth execution.
- Ensure compliance with HIPAA, ADA, FMLA, and state leave regulations, keeping internal processes consistent with collectively bargained agreement.
- Maintain complete and accurate records of leave and accommodation requests while ensuring upmost confidentiality.
- Facilitate meetings with stakeholders to resolve issues related to benefits, leave, or accommodations.
- Ensure compliance with federal, state, and local leave laws, as well as company leave policies, recommending updates to processes and policies as needed to remain compliant.
Required Experience/Qualifications:
- Strong knowledge of employee benefits programs, including medical, dental, vision, life insurance, disability, HSA/FSA, and COBRA.
- In-depth understanding of leave of absence policies, including FMLA, STD, LTD, ADA, and relevant state and federal regulations.
- Excellent organizational and data management skills with a high level of accuracy and attention to detail.
- Proven ability to handle sensitive and confidential information with discretion, following HIPAA compliance and laws
- Strong communication skills, both written and verbal, with the ability to provide consultative support to employees and managers.
- Ability to manage multiple priorities, work independently, and meet deadlines in a fast-paced environment.

Preferred Skills/Qualifications
- Experience with Benefits Administration in Workday or similar HRIS platforms preferred.
- Familiarity with HR and Payroll systems; prior experience is a plus.
