SUMMARY:
The Payroll/Accounts Payable Specialist ensures payroll is processed timely and accurately on a weekly or biweekly basis, and audits the payroll during processing for any potential errors. The Payroll/Accounts Payable Specialist will audit and enter weekly invoices for payment, and scan invoices/checks to Accounts Payable drive for weekly storage. The Payroll/Accounts Payable Specialist will also mail out the weekly accounts payable checks/payments. The Payroll/Accounts Payable Specialist complies with all legal and company rules and regulations while maintaining employee and patient confidentiality.
QUALIFICATIONS & ATTRIBUTES:
Associate degree or higher preferred, but not required.
Experience in an accounting or finance environment preferred, but not required.
Experience in payroll and payroll tax preferred.
Excellent oral and written communication skills.
Proficient in Microsoft Excel, Word, Teams, and Outlook.
Experience with Workday payroll software preferred, but not required.
Experience with ADP Workforce Now and ServiceNow preferred, but not required.
Detail oriented including routine auditing, ability to manage multiple databases, and ability to prioritize responsibilities to maintain strict deadlines.
MAJOR AREAS OF RESPONSIBILITY:
PAYROLL:
Completes timely payroll batching
Sets up and audits new employees for payroll
Audits employees for proper tax withholdings
Audits and assists employees with direct deposit setup and changes
Maintain daily payroll ticketing system through Service Now
Year-end auditing and reconciliations for W-2s
Effectively communicates with schedulers and managers concerning timecard and payroll discrepancies
Upload, track and review garnishment and child support orders and payments through ADP Smart Compliance
Review daily direct deposit errors in ADP Smart Compliance and contact employees for corrective action
ACCOUNTS PAYABLE:
Audits and enters weekly accounts payable invoices for payment
Scans weekly accounts payable checks/invoices and mail payments
Understands and practices agency policies and procedures
Follows all legal rules and regulations
Attends in-services and meetings as necessary
Other duties as assigned
