What you'll be doing

The Business Support Assistant contributes to the coordination and management of financial and contractual aspects within the scope of clinical trials and healthcare projects.

  • Manages small projects under supervision of the Business Support team after successful  completion of the trainee program

  • Assists planning and coordination of all required activities for the financial and contractual  aspects of Clario business

  • Cooperates with directors and managers within Clario and outside Clario (national /international)

  • Assists team by fulfilling administrative tasks such as filing of hardcopy and electronic records, set up of study folders, maintaining data in electronic systems etc. 

  • Independent processing of short term orders using JDEdwards including taking of order,  purchase order processing and order status reporting to the client 

  • Assists to preparation of invoicing items for Itemized billing, perform invoicing and assure  correct shipment of invoices 

  • Assists to set up of quotations, quotation updates and quotations for study extensions. (Quotation  Management Assistance) 

  • Assists to creation and distribution of contracts and contract extensions. Track and monitor  finalization process of the documents. (Contract Management Assistance) 

  • Assists to creation and adjustment of project specific payment schedules in interaction with  Project management. (Payment Schedule Management) 

  • Assists to monthly project accounting and forecasting

  • Perform daily duties following business support related SOPs/SWI´s

What we look for

  • Office clerk/ Office manager or Bachelor´s degree in business studies or equivalent educational experience 

  • Microsoft Office applications (Word, Excel, Outlook) 

  • Software applications (ERP Systems e.g. SAP, JDE) 

  • Experience in national/international commercial business 

  • English skills 

  • Communication and organizational skills 

  • Understanding of financial processes (commercial knowledge)
