Overview of the job

The Administrative Expert will be responsible for managing day to day work systems and tasks to support the organization. This would entail the individual to be well-versed in managing the calendars for key drumbeat meetings, coordinate travel and planning for such meetings, and ensure efficient and end-to-end execution of leadership visit while ensuring efficient management of the office. In addition, the individual will also execution of key engagement initiatives for the employees.

 

Your team

This role reports to Vice President - HR, and Director - HR and will be responsible for a team of 50 individuals.

 

How success looks like

 

Ensure superior employee experience for team members by ensuring owning end to end execution of key meetings. Ensure HR leadership is not engaged in non-business administrative activities by demonstrating complete ownership of administrative responsibilities. Actively curate and execute interventions with HR Leadership to ensure superior employee moments of truth.

 

Responsibilities of the role

 

  • Manage key drumbeat meetings for organisation: Curate agenda with the divisional leadership team and lead superior execution of key drumbeat meetings for the organisation. Manage travel and stay arrangements of team in partnership with vendors for such meetings. 
  • Calendar management for Vice President and Senior Director: Responsible for managing the calendar for business leader. This includes managing their travel along with the relevant compliance processes around the same.
  • Lead site management: Responsible for end to end management of the Mumbai General Office and relevant vendors.
  • Site Engagement Leader: Partner with the HR Team towards conceptualization and leading HR initiatives across employee engagement, well-being, rewards and recognition and simplification.
  • Travel Management for Vice President and Leadership Visits Engagement.

Job Qualifications

  • Bachelors in any discipline
  • 4-6 years of relevant experience
  • Mumbai based candidates preferred
  • Prior experience of working as Administrative expert preferred.
  • Proficient in MS Excel, MS Word and MS PowerPoint. Prior experience of working with SAP Concur preferred.
  • Excellent communication skills (English/ Hindi)
