Summary Has a working knowledge of and can perform tasks related to loan operations which include but are not limited to documentation preparation and QC, loan booking, funding, and research; along with servicing and maintenance. May be required to perform management duties on a limited basis.

Duties and Responsibilities include the following.

This position may be required to perform any of the following duties on an as needed basis and/or be able to

provide guidance for employees who perform these duties on a regular basis.

  • Loan related research; which includes legal, customer, or auditor/examiner requests
  • Billing maintenance
  • Monitoring collateral insurance (hazard/flood)
  • Document preparation; including pulling approved loan applications and preparing packets, which includes sorting and assigning applications for processing, pulling flood determinations, and review of Certificates of Good Standing for commercial borrowers; production of loan documents using Laser Pro; delivery of documents for closings
  • Uploads all new and renewed loans through Laser Pro into the IBS system; ensuring all additional required fields are properly filled out in IBS based on the information provided on the Boarding Data Sheet; including ACH set up, fee set up, and collateral setups in IBS Insight
  • Loan Closing reviews which includes review of all documents prior to loan closing to ensure accuracy of documents as well as adherence to approval requirements; review of all supporting documents to ensure all credit and compliance requirements have been met prior to closing and funding.
  • Conduct Post-Closing Document Reviews which include reviewing the accuracy of loan information prepared and uploaded from Laser Pro into IBS Insight; reviewing the accuracy of attorney prepared documents to ensure they have been prepared according to the original loan approval.
  • Assists both internal/external auditors and regulatory examiners with their review of loan accounts, policies, and procedures during their annual examinations.
  • Works with the Sr. Loan Operations Officer or Loan Documentation Coordinator on special projects within the department.
  • Assists in the set-up and implementation of new products or programs
  • Verifies all documents and information needed to board new loans to servicing system is available and accurate prior to boarding.
  • Tracks any corrections or changes, making calls and escalating issues as needed to board loans within timeframes given.
  • Executes loan transactions to board new loans through automatic export and manual processes, including setting up escrows, flood tracking, multiple collateral and other transactions based on loan type.
  • Posts any escrows, interest and principal collected with loan funding.
  • Works closely with management and accounting to confirm transactions are posted correctly, researching and working exceptions and reconciliation reports.
  • Ability to work in a time sensitive work environment and follow investor and internal guidelines boarding transactions.
  • Carries out additional administrative tasks as assigned.
  • Serves as support to all departments within the bank in regards to providing assistance and information regarding loan set up.  
  • Assists with reviewing the new loans that were selected for testing each month to ensure the loans have been uploaded to the systems correctly.
  • Assists with reviewing the loans that were selected from the total servicing portfolio to ensure loans are being serviced correctly.

Education and/or Experience

Bachelor’s degree (B.A.) from four-year accredited college or university preferred; minimum five years loan

operations banking experience; High school diploma or general education degree (GED) with 10 years loan

operations banking experience expected; management experience preferred.

Computer Skills

To perform this job successfully, an individual should have a strong working knowledge of computer

applications such as the Internet, Outlook, Microsoft Word, Microsoft Excel and banking software (Core

System; Imaging System, Ncino and Loan Document Production system; preferably IBS, Vision Content and LaserPro). Ability to use basic office machines including 10-key adding machine, computer keyboard, telephone, fax machine and copy machine.
