This position serves as the first interaction with all employees, visitors, guests, and contractors. The Front Desk Coordinator manages the entry reception area coordinates all front desk activities including answering the facility main phone line as needed, visitor management, and general administrative duties. This position also supports general building operations with supervisor. Assists supervisor including assisting with supply procurement and amenities. This position provides direct support for all events and meetings held at the Studios building. This support includes and is not limited to vendor coordination and direction, set-up and tear down of equipment and furniture, troubleshooting and execution.

QUALIFICATIONS

  • Associates Degree or equivalent administrative support training preferred but not required

  • Five years’ experience with office support, or customer service focused/front of the house hospitality position

  • Proficient with Excel, Word and Outlook; working knowledge of PowerPoint

  • Strong communication and interpersonal skills

  • Excellent organizational and project management skills required

  • Able to work independently and complete necessary tasks without consistent supervision

  • Deadline and detail oriented with proven ability to multitask and adjust priorities quickly in a fast-paced environment

  • Ability to interact with various clients and groups effectively presenting information

  • Good team player with ability to work with wide range of personalities in a courteous, professional and efficient manner

  • Able to safely operate a utility vehicle such as, but not limited to, golf carts, utility carts, and shuttle carts

  • Experience with vendor coordination and automated security systems a plus

RESPONSIBILITIES/DUTIES

  • Greet all employees, visitors, guests, and vendors in a professional and courteous manner

  • Manage facility access including sign in and ID badge issuance process following all TOUR security policies. Report deficiencies to manager.

  • Operate high-volume Ring Central phone platform to facilitate internal messages and telephone transfers. Courteously and promptly determine nature of inquirer’s business and directs to the appropriate person or provides accurate information

  • Coordinates pick-ups with vendors as requested (i.e., Coffee Perks-Micro Market)

  • Provide answers to routine inquiries and other information as needed

  • Support the onsite business center, which may include: office supply stocking, conference room setup up, pantry inventory, or light facilities, or mail

  • Oversee Micro Market including the managing of affiliated catering deliveries and reporting equipment issues to appropriate vendor while in operation

  • Request courier support as needed

  • Submit concur expenses as directed by manager

  • Develop and report on utilizations as requested by department head

  • Assist with meeting services or events for activation as requested

  • Assist new employees with building orientation as needed

  • Special projects or other duties as assigned
