PRIMARY OBJECTIVE:

Responsible for the timely procurement and delivery of high quality, low-cost products, effective processing and coordination of activities related  of buyers, purchasing of materials, products, and services for the Resort.

PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)

Personal

  • Ensure accurate accounting and internal control systems occur in all areas of responsibility.
  • To report for duty punctually wearing the correct uniform attire and name badge at all times.
  • To ensure the team maintains a high standard of personal appearance and hygiene at all times.
  • To ensure the team provides a courteous, professional informative service at all times.
  • To ensure the department maintains a good rapport and working relationship with all other departments.

Administration:

  • Manage purchase order documentation and execution of process ensuring compliance with company policy for procurement and contacting potential supplier and contractors
  • Assist with negotiations and the contracting process including the sourcing of products and service ensuring competitive bids and quotes and secured
  • Liaise with all internal and external customers ensuring coordination of all deliveries of goods and services in a timely manner including sign offs
  • Interface with accounts payable and finance department managers
  • Provides clerical and administrative support ensuring all supply agreements and contracts are established and renewed in a timely maner
  • To source the best price and maintain high quality for all goods purchased.
  • Achieve best price per unit on goods and services using strategic approach, negotiation skills and persuasion.
  • Ensure all goods or services purchased have a Purchase Order that has been approved by the Resort Manager or designated authority.
  • To check all goods on arrival against delivery dockets / invoices prior to approval for payment,
  • To place all orders into the appropriate Materials Control Management System and ensure all prices are updated as per invoices.
  • To conduct regular monthly stock-takes of all store-rooms and outlets nd provide recommendations to address any shortfalls..
  • Maintain stores facility and associated areas in a clean and orderly fashion according to "Workplace, Health and Safety Standards'.
  • Responsible for the collection and monitoring of all stock movement, inventory and waste
  • Responsible for the coordination of all stock issues (inventory and non inventory) and the maintenance of records for same.
  • Ensure all waste and empty containers are disposed of correctly by liaising with the relevant statutory authority or supplier.
  • Notify the Resort Manager of any hazards or defects in or around the facility.
  • Regulate the traffic flow within the facility area.
  • Receive all deliveries ensuring there is an official Purchase Order, all goods are in accordance with that order and conform required specifications.
  • Raise and process all necessary paperwork for quotations, Purchases Orders, Receipts, payments, credits and internal distribution, in accordance with Resort Policies and Brand Standards.
  • Ensure all stock or equipment received is stored correctly, rotated and par levels are maintained.
  • In consultation with the Executive Chef and General Manager, monitor par stock levels and values in freezers, dry store and beverage store to ensure adequate stock on hand for event requirements and that adjustment is made for seasonal changes.
  • Supervise the day-to-day functions of the Stores Receiving Officer, including proper documentation in line with the company purchasing and receiving procedures
  • Negotiate with suppliers, place required daily orders and ensure prompt delivery
  • Cost all food and beverage items and where practical, input these costs into the point of sales system and generate monthly potential food and beverage cost of sales           
  • Assist management in menu costing in order to establish menu item sale price
  • Ensure that all goods sourced and delivered from contracted suppliers meet specifications and fixed contracted pricing.
  • Ensure all procurement activities conducted within delegations of authority and that appropriate approvals have been provided prior to issuing purchase order for goods or services.
  • Identify changes in costs of goods and services, and provide monthly reports to the Resort Manager
  • Minimise unnecessary energy use in Procurement storage areas and serveries
  • Pursue environmentally responsible alternatives for product stock lines where financially and operationally feasible.
  • Encourage efficient use of resources to minimise waste. Look for opportunities to re-use and recycle items in use

General:

  • Ensure all operating equipment in related working area is properly maintained and cleaned.
  • To ensure Maintenance department is advice of all faulty equipment
  • To have a complete understanding of and adhere to the Companie’s policies and procedures.
  • To have a complete understanding of and adhere to the Company policy relating to Fire, Hygiene, Health & Safety.
  • To understand and adhere to company policies and Regulations as per Departmental Operational Manuals and Employee Handbooks.
  • To ensure any recipes, costing, pricing, menu or culinary concepts what so ever are maintained confidential and not shared with 3rd parties.
  • To ensure any passwords or company security measures are maintained confidential and not shared with 3rd parties.
  • To be conversant with all Company facilities and services.
  • To ensure any lost or found property is reported for safe keeping according to company policy.
  • To attend meetings, briefings and training sessions as required.
  • To use approved company Time sheet or finger scanning, and accurately record commencement, breaks and finishing times at end of each shift.
  • To respond to any changes in the departmental function as dictated by the company, government laws and industry.

Other

  • Any other duties that may be assigned to him/her by the supervisor at the time within the scope of the job.

KEY POSITION CRITERIA:

  • Minimum 3 years procurement experience, with a relevant tertiary qualification
  • Experience within hospitality, construction and building trades will be an advantage
  • Proven ability in computerised purchasing, inventory and accounting systems including strong systems and process skills
  • Strong negotiation & communication skills
  • Proficent in Microsoft Office application, data base and office software applications
  • Strong team player
