eBay is looking for an Administrative Executive Assistant to support the Sr. Director of Human Potential, Learning & Development, Sr. Director Business Performance, Strategy & Innovation and Sr. Director Global Service Delivery.  We are looking for this person to be a key member of our leadership team, and they should be a hard-working, efficient self-starter with an ability to operate effectively in a fast paced, ever-changing environment!  This position is located in our Dublin office.  This role will report directly to the Sr. Director Human Potential Learning & Development and will be a key member of the admin team supporting our Global Customer Experience organization.  This is a dynamic role for which there will never be an exhaustive list of responsibilities, especially as the role grows and evolves - both with the company, and as a result of individual growth within the role!
 

  • Manage the calendars of assigned leaders extensively, including coordinating internal and external meetings across multiple time zones & locations.
  • Coordinate sophisticated domestic and international itineraries & travel including booking flights & hotels
  • Strive to deeply understand the team's goals, and work with the Sr. Director to ensure that their time is organized accordingly.
  • Manage financial administration, e.g. processing POs & invoices.
  • Event planning and coordination of team off-sites/events.
  • Work with the Dubin Site Lead and Engagement team for onsite engagement committees to complete local priorities & events.
  • Connect with internal & external parties, while exhibiting the highest degree of professionalism.
  • Assist in the preparation of presentation or meeting materials.
  • Coordinate agenda and record meeting minutes for team staff meetings
  • Ensure email lists, org charts and other administrative systems are regularly maintained and current.
  • Advise the Sr. Director’s of employee updates and achievements (reviews, anniversaries etc.).
  • Be involved in special or other ad-hoc projects as required.
  • Compile & edit briefing materials and synthesize this information into executive summaries with key business & communication insights.
  • Exercise absolute discretion at all times
  • Requirements:
  • An experienced Executive Assistant with 5+ years’ experience as an EA in a technology organization supporting Directors and above.
  • An individual who seeks information beyond what is plainly presented to you, with an aim to understanding the Sr. Director’s goals & actively finding ways to be helpful in implementing these goals.
  • Enthusiastic and eager to help wherever you can, and do whatever it takes to ensure progress, while being friendly, collaborative and approachable.
  • Outstanding organizational & analytical skills but have the ability to be creative in order to solve problems.
  • Superb at communicating with great written and verbal communications skills with the ability of capturing sophisticated concepts & conveying them in simple, meaningful language.
  • Able to compile clear and concise briefing materials.
  • Able to perform well in highly dynamic, high pressure, constantly evolving environment.
  • Able to interact with senior level executives and all levels of the organization.
  • Aware of maintaining confidentiality & the use of discretion.
  • Self-directed, take initiative & proactive with excellent project management skills.
  • Laser focused when it comes to attention to detail and accuracy. You exhibit flexibility, prioritization & the ability to prioritize.
  • Open to travel if required.
