As a Legal Administrator at Travelers you will be responsible for coordinating Staff Counsel office activities and operations while providing legal assistant and administrative support to one or more attorneys including the Managing Counsel. As a team lead to the office support staff you will assist in directing daily work activities as well as provide training and coaching. What Will You Do?

  • Serve as liaison between Managing Counsel, Claim Office and Home Office.
  • Maintain strict confidentiality of office records, including on site employee personnel drop files.
  • Provide professional customer service to claim clients and insured clients.
  • Ensure compliance with Claim Finance policies and procedures for the payment of court filing fees, process server fees, witness and court fees, court reporters, subscriptions and any other office/file related expenses.
  • Accountable for the standardization of legal forms, templates and pleadings, and their input into the case management system. Oversee the organization, indexing and maintenance of the legal file.
  • Ensuring consistency and uniformity by all support staff; maintain and update office protocol/best practices inclusive of court calendaring and diaries.
  • Responsible for ensuring support staff is compliant with day to day operations, i.e. scheduling of mediations; hearings; independent medical examinations; depositions; site and evidence inspections; preparation of trial documents; exhibits and other demonstrative evidence for trial; scheduling of witnesses and experts; confirming that all necessary parties have been notified timely.
  • Comply with all monthly reporting requirements to Claim Legal.
  • Responsible for processing cheque requests for the payment of office operating expenses.
  • Accountable for maintaining and ordering office operating supplies and equipment.
  • Responsible for follow up on all work environment/ergonomic request.
  • Monitor the operation of systems by support staff to assure the consistency and accuracy of data entry.
  • Oversee/troubleshoot technology problems and office equipment.
  • Coordinate regular maintenance and repair of office equipment.
  • Professional communication with court personnel, other law office staff, experts and witnesses. Serve as liaison between office and Internal IT department and/or outside vendors. Serve as liaison between local Westlaw Rep. and staff to coordinate local Westlaw training.
  • Serve as liaison between managing attorney and human resource manager on issues of employee relations and staff performance. Oversee support staff personnel, including legal assistants, law clerks, legal administrative assistants and all temporary clerical personnel.
  • Provide meaningful input to managing counsel with regard to performance evaluations of support staff and make recommendations with regard to promotions and development opportunities.
  • Responsible for on-the-job training of support staff. Serve as liaison between counsel and support staff. Recommend support staff/lawyer assignments to Managing Counsel for his/her final decision and monitor and adjust quantity of workflow among support staff within the office.
  • Monitor quality and efficiency of support staff performance.
  • Administer orientation for new support staff employees by clearly explaining office procedures, best practices, company policies and job duties.
  • Serve as liaison between managing counsel and human resources personnel throughout the hiring process. Conduct preliminary interviews and screen applicants for all support staff positions. Recommend suitable applicants to managing counsel for his/her final hiring decision. Responsible for securing temporary support as needed, either directly or through temporary agencies.
  • Perform other duties as assigned.

What Will Our Ideal Candidate Have?

  • Associates Degree or equivalent combination of relevant education and work experience.
  • Previous supervisory experience.
  • Excellent written and verbal communication skills.
  • Knowledge of legal and insurance terminology; legal citations; court administration rules and procedures; and commonly used law library reference books and material.
  • Proficient in Microsoft Word, Excel & Outlook.
  • Ability to manage time and multitask effectively and display problem solving skills by developing methods or approaches to getting the work done.

What is a Must Have?

  • Minimum 6 years of prior experience as a legal litigation secretary or office administrator in an automated office environment.
