HR Services Specialist, Compliance

The HR Services Specialist, Compliance is responsible for supporting the overall integrity of electronic and paper human resource records. This role helps define processes for gathering and maintaining accurate and complete records. This role performs routine audits to ensure that records are completed in accordance both with federal, state, and local laws and regulations and system policies and procedures. The HR Services Specialist, Compliance collaborates with other stakeholders in ensuring the accuracy, completeness, and integrity of HR data and paper records within the organization.

  • Full Time/Part Time: Full time

  • Hours: Monday-Friday, 8:00am-4:30pm

  • Required Travel: travel to other Endeavor Health locations may be required.

What you will do:

  • Maintains accurate and up-to-date electronic and paper human resource files, records, and documentation to ensure compliance and effective, efficient, and accurate administration of employees spanning the health system.

  • Contributes to the design and implementation of system records management and retention policies, processes, and procedures.

  • Performs internal audits to ensure records management and retention compliance under the oversight of the HR Manager, Compliance.

  • Assists with pre-survey file audits and prepares files for review with clinical department leaders in preparation for scheduled regulatory surveys (i.e., JC, IDPH, CLIA, CMS, DNV, DASA, Magnet).

  • Prepares HR employee files requested by surveyors during scheduled and unscheduled regulatory and accreditation surveys.

  • Supports reporting (i.e., IL State New Hire and Term Reporting, OIG Reporting).

  • Assists with oversight for the system License Manager Pro database and performs regular Primary Source Verification audits to assure compliance of license and certification requirements for our employees.

  • Assist with I-9 audits and the Re-verification process for employee I-9’s.

  • Refers complex matters to appropriate centers of expertise and/or HR management.

  • Contributes to and continuously improves knowledge in the HR knowledgebase to ensure consistent and accurate information is available to employees and HR service representatives.

  • Maintains knowledge and understanding of laws and regulations related to employment law and area(s) of specialization.

  • Performs other related duties as assigned.

What you will need:

  • Education: Associates degree in Human Resources or a related field; high school diploma or GED with at least three years of relevant human resource administration or call center experience also acceptable. Bachelor’s degree, preferred.

  • Certification: SHRM Certified or Senior Certified Professional (SHRM-CP/SCP) or HRCI Professional or Senior Professional in HR (PHR/SPHR), preferred

  • Experience: 2+ years of human resource administration experience, preferred

    • Prior experience working with Workday HCM, preferred

    • Prior experience working with ServiceNow Case and Knowledge Management, preferred

  • Unique or Preferred Skills:

    • Broad knowledge of human resources administrative processes and best practices.

    • Thorough understanding of employment laws, regulations and guidelines.

    • Strong analytical and problem-solving skills.

    • Excellent organizational skills and attention to detail.

    • Excellent customer service skills.

    • Excellent interpersonal, conflict resolution, and de-escalation skills.

    • Excellent verbal and written communication skills.

    • Proficient with Microsoft Office Suite or related software; advanced knowledge of Excel.
