Completed in August of 2006, State Farm Stadium has set the standard in multi-purpose NFL Facilities. The stadium is home to a variety of different events including Arizona Cardinals home games, the annual Fiesta Bowl, international soccer matches, concerts, motorsports, trade & consumer shows, and corporate & social functions. Designed with a roll-out natural grass field and retractable roof, the first of its kind in North America, the stadium is capable of converting from a sports facility to a multi-functional event space allowing it to host numerous event types in air-conditioned comfort.

About the Position

State Farm Stadium is seeking a motivated and detail-oriented Part-Time Administrative Assistant to join our Private Events Sales division. This role is crucial in supporting the development and management of systems for promoting and booking our exclusive Club Lounges for private reservations and special event activities. The successful candidate will also manage in-house and non-revenue-generating activities within the Stadium booking calendar, ensuring seamless coordination and execution of events.

Essential Duties and Responsibilities

  • Club Lounge Promotion & Booking:
    • Develop, implement, and manage a system for promoting and booking the Stadium’s Club Lounges for private reservations and special event activities.
    • Coordinate with the Sales team to identify potential clients and execute targeted marketing strategies to attract bookings.
    • Maintain an up-to-date calendar of Club Lounge availability and manage reservations to avoid scheduling conflicts.
  • Booking Calendar Management:
    • Manage the Stadium's in-house activities and non-revenue-generating events within the booking calendar.
    • Ensure all events are accurately logged, and resources are allocated efficiently.
    • Coordinate with internal departments to ensure all logistical needs for in-house activities are met.
  • Administrative Support:
    • Provide administrative support to the Private Events Sales division, including but not limited to preparing contracts, generating reports, and maintaining client databases.
  • Assist in the creation and distribution of promotional materials and correspondence related to Club Lounge reservations and events.
  • Coordinate meetings and communications between the Sales team and clients or vendors.
  • Client and Vendor Relations:
    • Serve as a point of contact for clients and vendors regarding Club Lounge bookings and event logistics.
    • Assist in responding to inquiries and providing information about available services and facilities.
  • Other Duties as Assigned:
    • Support the Private Events Sales team with various tasks as needed to ensure the success of events and smooth operation of the division.
    • Participate in special projects and contribute to the overall efficiency and productivity of the team.
    • Assist with ongoing market research to identify new business opportunities.

Qualifications

  • High school diploma or equivalent; some college coursework in hospitality, business administration, or a related field is preferred.
  • Previous administrative experience, preferably in sales or event management.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software systems.
  • Excellent organizational skills with a strong attention to detail.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Flexibility to work evenings, weekends, and holidays as required.
