What is the opportunity?

We’re seeking a dynamic Executive Assistant to join the Franklin Templeton IAS team in Madrid. In this pivotal role, you'll not only support the execution of the regional strategic plan but also provide essential administrative support to ensure smooth office operations. Collaborating closely with senior leadership across Iberia and Latin America, you'll play a crucial part in driving the business forward, offering full support behind the scenes.

What are the ongoing responsibilities of an Executive Assistant?

Strategic Support:

  • Assist in executing the regional strategic plan, working closely with Senior Leaders.

  • Understand the business landscape and contribute to high-level discussions.

  • Track and manage department budgets to ensure financial alignment.

  • Document and maintain meeting minutes for key departmental meetings.

  • Support the creation and distribution of internal and external communications.

Diary & Travel Management:

  • Manage team calendars, anticipating needs and planning ahead.

  • Ensure team are well-prepared for meetings, providing all necessary documentation.

  • Coordinate complex domestic and international travel, including detailed itineraries and subsequent expense reporting.

Executive & Administrative Assistance:

  • Provide top-tier administrative support to senior executives, including calendar maintenance, meeting coordination, staff relocations, ordering office supplies, email, correspondences, incoming/outgoing mail, filing and scanning.

  • Act as a liaison between executives and internal staff, clients, and external contacts.

  • Handle a range of administrative tasks such as invoice processing, expense reports, HR requests, and IT needs.

  • Oversee the coordination of legal document signings and other formal processes.

  • Assist with planning and managing departmental events, including meeting room reservations, A/V setup, catering, and logistics.

  • Create high-quality spreadsheets, professional documents, and PowerPoint presentations.

Office Operations & Support:

  • Greet visitors and manage office interactions with the highest level of professionalism.

  • Support local office requirements, ensuring a seamless day-to-day experience.

  • Compile and analyze data for department projects and initiatives.

  • Collaborate with various business units (Technology, Facilities, etc.) to ensure systems access, relocations, and other operational needs are met.

What ideal qualifications, skills and experience would help the Executive Assistant be successful?

  • Significant administrative experience supporting senior management in a professional setting.

  • A degree in Business Administration or a similar field, or an Administrative Certification, is preferred.

  • Experience in the finance industry or a corporate environment is highly desirable.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and SharePoint.

Relationship Building & Communication:

  • Exceptional relationship-building and communication skills, both written and verbal.

  • Proven ability to collaborate with senior management and engage with high-profile clients.

Highly Organized:

  • Strong organizational skills with the ability to maintain structured files and records.

  • Capable of prioritizing and managing multiple tasks in a fast-paced environment.

  • Keen attention to detail with the ability to proofread and edit documents with accuracy.

Discreet & Trustworthy:

  • Demonstrated ability to handle confidential information with discretion and exercise sound judgment in line with department guidelines.

  • Professional demeanour, capable of maintaining composure in a corporate setting.

Adaptable & Resilient:

  • Strong problem-solving skills with the ability to quickly assess situations and make decisions with minimal guidance.

  • Ability to remain calm under pressure and adapt swiftly to changing circumstances.

  • Flexibility to meet the diverse needs of a small, dynamic office.
