Multifaceted role that involves a range of tasks and responsibilities aimed at ensuring the smooth operation of governance activities in Europe and Asia Pacific. Requires a proactive individual demonstrating an intermediate knowledge in supporting these tasks. Capable of managing corporate calendars, coordinating meetings and events, collecting and drafting meeting materials and providing general support and back-up for EAPAC corporate governance matters. Support regulatory filings and responses to department inquiries. Support department projects and initiatives. Works under supervision on standard/recurring matters and supporting certain non-routine matters and projects. May serve as a resource to others in the group.
Primary responsibilities/essential functions
Collection and organization of meeting material. Preparation of agenda packs for assigned European (and/ or Asia Pacific) boards and dispatch to meeting participants.
Draft and or review department produced work product such as board meeting exhibits, material, minutes and resolutions to ensure consistency and quality.
Manage the board cycle planning/ corporate calendar for all EAPAC boards and organize various meetings. Coordinate in-person events including logistics.
Provide general support in EAPAC corporate governance matters. Maintain the Conflicts of Interest Register, Authorized Signature Lists, handle trade registry registrations and assist in annual audits and handle inquiries related to corporate events.
Support regulatory filing production (for example: addition/ resignation of board members, notifications of governance events) and responses to department inquiries.
Support oversight of outsourced service providers and participate in relevant meetings.
Act as back-up for other team members as needed.
Support broader department projects.
Other duties as assigned.
Skills and qualifications specific to this role:
The ideal candidate for this role will have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. They will also possess excellent communication skills and be comfortable working with various stakeholders across the organization/ regions.
Functional knowledge of corporate governance and regulatory compliance principles.
Experience in supporting corporate governance or similar matters (through working in a compliance, legal or other oversight function within the financial industry).
Experience working with cross organizational/ regional teams.
