About the Role

We have a great opportunity for an upbeat, organized, and creative Executive Assistant to support our SVP, Automotive and VP, Automotive Supply Chain Quality, their broader leadership teams and the Troy, Michigan Hub Office.

Job Responsibilities

  • Manage schedules and multiple calendars, resolving conflicts as they arise.
  • Coordination of division-wide meetings and events.
  • Assist with group announcements, communications, and presentations.
  • Coordinate travel and complete expense reports on behalf of travelers.
  • Ariba delegate responsibilities including approving and reconciling invoices when needed.
  • SAP Time Collection responsibility
  • Welcome and on-board new team members - including computer ordering, badge access etc.
  • Act as a champion for reinforcing the global team culture & local Hub community.
  • Support for other important projects and coordination of special events.
  • Partner with Workplace services to ensure effective office operations, compliance and space planning.

  • You are known for being thorough, and for getting all the details right.
  • You continuously look for ways to contribute, proactively assessing the needs of the business, offering assistance and support.
  • You can build memos and power point content for distribution from context and a few notes.
  • You effectively use your network to get stuff done on behalf of the division.
  • You take pride in being able to balance priorities and multi-task.
  • You are comfortable navigating the highly sensitive and confidential work that is common with supporting executives.
  • You have experience with enterprise systems (SAP, Ariba, Workday, etc).
  • You get satisfaction from helping others, and from making the organization run more efficiently.
  • You help organize follow-up and check in with staff to ensure timelines are met.
  • You demonstrate exceptional judgment in prioritizing and making scheduling and office administrative decisions.
  • You are always willing to go “the extra mile” to accomplish tasks and responsibilities.
  • You have a flexible “can do” attitude and willingness to learn.
  • Demonstrated experience supporting at the Executive Leadership level.
  • Ability to multi-task and drive projects and task to completion with minimal direction.
  • Ability to build clear communications, excellent proofing skills.
  • Outstanding Microsoft Office skills, including PowerPoint, Excel, Word and Outlook.
  • Ariba/SAP and shopping cart power user is a plus.
  • Experience with other tools like SharePoint.
