How Position Supports TaskUs:

  • Manage the calendars and schedules of multiple C-Suite executives, optimizing their use of time and prioritizing their commitments. Use judgment to maximize executives’ use of time; anticipate and resolve scheduling conflicts; keep executives on track with various commitments, while finding a bit of time for fun in the executives’ schedules.

  • Provide executive administrative support to C-Suite members including coordinating complex domestic and international travel logistics, managing expense reporting, managing calendars and meeting scheduling, and assisting with other day-to-day tasks as needed. 

  • Plan all logistical arrangements for on-site meetings, including space and facility needs, meals and refreshments, supplies, and technology

  • Anticipate and schedule organization standing meetings and events well in advance. These include but are not limited to, weekly executive

  • Assist in preparing meeting minutes, Core Value Nominations, and building Google Slide presentations for various meetings

  • Assist in Vice President onboarding including coordination and correspondence among key team members 

Required Qualifications: 

  • Four or more years of experience in an administrative role reporting directly to upper management and supporting multiple executives

  • Excellent written and verbal communication skills

  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects

  • Global mindset: global awareness/sensitivity to time zones; culture; understanding different cultural norms and expectations; acting as a global "ambassador" for the Legal Office.

  • Ability to multi-task and work in a fast-paced, demanding environment

  • Proficiency with office productivity tools including Google Suite and an aptitude for learning new software and systems

  • Flexible team player, willing to adapt to changes and unafraid of challenges

  • Ability to maintain the confidentiality of information related to the company and its employees

  • Must have attention to detail and good analytical skills

  • Experience supporting multiple senior executives

  • Outstanding organizational skills and ability to multitask

  • Problem-solving and decision making

  • Proactivity and self-direction

  • Excellent interpersonal skills

  • Experience in overseeing budgets and expenses

  • Experience in developing internal processes and filing systems

  • Experience with Google Suite, booking both domestic and international flights and coordinating complex travel arrangements


 

Education / Certifications: 

  • A bachelor's degree in business administration can equip you with the skills required to excel in a high-level executive assistant job.

Work Location / Work Schedule / Travel: 

  • Remote set-up

  • 40 hours weekly

  • As a global company, you would need to be flexible with multiple time zones but primary working hours would be 8:00 am - 5:00 pm Central Standard Time

  • Travel may be required up to 20% of the time
