Job Description Summary:
The position will manage research communications and coordinate special projects that support the institution’s research initiatives. The Coordinator will manage newsletters, communications, websites, and information-sharing platforms, providing marketing support for events, and provide exceptional customer service and administrative support while contributing to special projects and strategic goals.

Job Responsibilities
- Lead the creation, design, and management of the departments weekly research newsletter. Compile, curate, and distribute content to ensure it is informative, engaging, and aligns with CIRO’s strategic objectives. Exercise discretion in content selection to maximize engagement.
- Develop and implement professional communication templates that enhance CIRO’s branding and visibility across all correspondence, ensuring consistency and professionalism in communications.
- Oversee the dissemination of office announcements and email communications to a broad audience, utilizing strategic communication methods to ensure timely, clear, and impactful messages.
- Manage contact lists using Emma and Outlook, ensuring accuracy and efficiency in audience segmentation for targeted communication efforts.
- Lead updates to the Internal Medicine research website and other clinical department research pages. Ensure content is current, relevant, and well-organized, working closely with the University’s web team to integrate design improvements.
- Coordinate the annual update of the Internal Medicine Recruitment Magazine. Collaborate with multiple departments to gather content and facilitate its timely production and distribution, using strategic planning to align the magazine’s messaging with institutional goals.
- Oversee the management and continuous improvement of the CIRO SharePoint site, ensuring content is up-to-date, well-organized, and accessible to team members.
- Promote CIRO-organized events across multiple channels, developing tailored communication strategies to maximize visibility and engagement with key stakeholders.
- Maintain and manage an online calendar of departmental and CIRO-organized research activities, ensuring it is accurate and updated regularly for internal and external audiences.
- Lead the development and execution of a strategic communications plan for the annual Research Day. This includes coordinating outreach to speakers and attendees, managing calendar invites, and developing promotional materials in collaboration with committee members.
- Oversee and manage email communications sent to [email protected], exercising discretion in addressing information requests from internal and external stakeholders, and fostering relationships to support CIRO’s mission.
- Design, implement, and analyze REDCap surveys to capture feedback on CIRO operations and research administration. Use this data to recommend and drive continuous improvement initiatives within the office.
- Provide cross-coverage support for all CIRO operational functions, including Workday support, offering expert-level insights and problem-solving to ensure smooth operations across the department.
- Lead or contribute to special projects, ensuring alignment with CIRO’s strategic goals and driving initiatives that enhance the effectiveness and efficiency of the office’s operations.
- Innovate and implement new communication strategies, tools, and resources that improve engagement with both internal and external stakeholders, ensuring CIRO’s message is effectively communicated.
- Provide leadership and on-the-ground support for CIRO-organized events, ensuring smooth execution and adherence to CIRO standards of excellence.
- Perform additional administrative and strategic tasks as assigned by CIRO leadership, using judgment and discretion to prioritize tasks and make informed decisions.

Required Qualifications
Education: Bachelor’s degree or relevant experience may be substituted for education on a year-for-year basis.
Work Experience:
- Minimum two (2) years of administrative office support experience.
- Customer service experience

Education: Master’s Degree
Work Experience:
- Proficiency with Workday.
- Familiarity with business technology tools (e.g., Teams/Slack, SharePoint, ServiceNow, Monday, MS Project, Emma).
- Proficiency in Microsoft Suite.
- Experience supporting faculty and staff in a university or large academic institution.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
