Team Structure
This role sits within the Information Technology team reporting directly into the IT Program office in Grand Rapids, MI with dotted line responsibility to the VP of Automation.
Essential Duties & Responsibilities
- Proactively validate business requirements related to assigned projects
- Effectively facilitate scoping sessions with stakeholders
- Coordinate, manage and complete assigned projects on time and within budget
- Develop detailed project plans to monitor and track progress within ServiceNow or Monday.com
- Serve as a liaison between IT and business units to coordinate the necessary support needed and to provide successful implementation of project initiatives
- Manage processes to provide structure for new projects and initiatives using IT PMO CoE best practices and tools.
- Develop project charters, plans, milestones and schedules using the IT PMO standard project templates/tools to ensure projects are completed on time and expectations of project sponsors are met.
- Daily project management support to project sponsors throughout each project life cycle
- Support Program and Project Governance (controls)
- Validate resource availability and allocation on each project
- Facilitate Project Meetings
- Create Project Status Reports
- Proactively manage risks, actions, issues, and decisions for each project
- Identify project dependencies, assumptions and constraints as part of the plan
- Create the project stakeholder communication plan
- Manage scope and project changes effectively

Education and/or Experience:
- Bachelor’s Degree or equivalent experience
- 7+ years of project management experience within a complex IT environment preferably with Automation related projects
- Having both agile and waterfall methodology experience is a plus
- Must be able to detail hands on experience with the creation and management of large-scale projects spanning multiple departments and stakeholders
- Project Management certification (e.g., PMP, Prince2) preferred
- Insurance Carrier/Brokerage Industry experience strongly preferred
Knowledge, Skills & Abilities:
- A project leader who is comfortable within a fast-paced and often ambiguous environment
- Self-starter with the ability to reach out and engage with stakeholders at all levels
- Experience with ServiceNow, Monday.com or similar project management tools
- Experience with Microsoft Office365
- Admin / User knowledge of SharePoint
- Familiar with the ITIL Framework a plus
- Familiarity with Intelligent Automation concepts a plus
- Experience applying project management best practices and design-thinking approaches
- Experience working with abstract concepts in innovative ways to solve problems
- Effective written and verbal communication, including the ability actively listen, and problem solve with minimal assistance
- Excellent time management and prioritization skills
