Responsibilities 

Client Service & Support: 

  • Act as the first point of contact for wealth management clients, addressing inquiries and resolving issues in a timely manner. 

  • Provide high-quality service to clients through phone, email, and in-person interactions. 

  • Assist in onboarding new clients, including setting up accounts and managing documentation. 

  • Support financial advisors and wealth managers in client interactions, scheduling, and follow-ups. 

  • Assist with the daily operational tasks, including trade settlements, fund transfers, and account maintenance. 

  • Ensure all transactions and account activities comply with internal policies and industry regulations. 

  • Work closely with compliance and risk management teams to address any operational or regulatory concerns. 

  • Manage and update client records in the firm's database, ensuring accuracy and confidentiality. 

  • Support the preparation and delivery of client reports and account statements. 

Cashiering & Transaction Processing: 

  • Handle all cashiering functions, including cash deposits, withdrawals, and check processing. 

  • Execute wire transfers, ACH payments, and account transfers accurately and efficiently. 

  • Monitor and reconcile daily cash positions and client accounts. 

  • Process client requests related to investment accounts, including trades, account updates, and fund disbursements. 

Onboarding 

  • Coordinate between client, advisor, and additional support teams to execute & track client onboarding progress. 

  • Prepare and track new client agreement, custodian account opening, maintenance, and transfers paperwork thru the process, including any SLOAs that need to be established. 

  • Confirm account set up at custodian and in Salesforce and Portfolio Accounting Software. 

  • Confirm billing is set up and if needed initiate initial invoice. 

  • Confirm any reporting is set up correctly. 

  • Confirm client portal is set correctly. 

  • Confirm any loose ends at prior custodian are done (RMDs, residual transfers, terminate auto payments). 

  • Confirm any restrictions communicated to trading team. 

Problem Solving & Troubleshooting: 

  • Investigate and resolve discrepancies in client accounts or transaction processing. 

  • Collaborate with internal teams to troubleshoot and resolve operational issues that may arise. 

  • Proactively identify opportunities for process improvement and efficiency enhancements. 

 

Qualifications & Requirements 

  •  Bachelor’s degree in Finance, Business Administration, or a related field (preferred). 
  • 2+ years of experience in operations, client services, or cashiering, preferably within a wealth management or financial services firm. 

  • Strong understanding of wealth management products, financial instruments, and client service processes. 

  • Proficiency in using financial software systems and CRM tools. 

  • Excellent attention to detail and strong organizational skills. 

  • Ability to manage multiple tasks in a fast-paced, deadline-driven environment. 

  • Strong interpersonal skills and a client-first attitude. 

  • Knowledge of industry regulations (FINRA, SEC) is a plus. 

Physical Requirements

  • This position requires the physical capabilities to work in an office environment, which may include prolonged periods of sitting at a desk and working on a computer.   • This position is required to work onsite 4 days per week.
