JOB DESCRIPTION:

SUMMARY OF POSITION

Performs a variety of complex clerical and other supportive duties requiring considerable independent judgment and action with minimal supervision.  The Administrative & Program Assistant functions as assistant to the Department Director and provides support services to department staff.  This position also functions as the ACT assistant per fidelity standards and works closely with the Vocational and Rehabilitation teams.  This position has a direct impact on financial success of the ACT and other programs.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Stays up-to-date on knowledge specific to the ACT program. This includes an understanding of Rule 132 for ISP scheduling purposes and ACT fidelity standards. Maintains outcome measures for program.
  • Maintains department communications, including copying and distributing information, maintaining various staff lists, maintaining organizational charts, checking and distributing e-mail, and responding to phone calls and correspondence as needed. Types correspondence and other material as needed for the department director and staff.
  • Develops, organizes and maintains a filing system (both computer based and hard copy) for the department.
  • Assists the department director and other department staff in preparation for meetings, events, workshops, speeches, presentations, legislative hearings, etc.. Schedules space, topic research, resource searches, preparation of overheads, slides, brochures, and other written or graphic materials. Assists department director, managers and supervisors with the organization of special projects as they arise. 
  • Assists marketing department, as directed, to prepare brochures, materials and displays for department staff and programs. Also responsible for the reproduction of research materials, training materials, and internal information to circulate among staff.
  • Responsible for scheduling and coordinating activities per department needs. This includes scheduling all overnight lodging and travel for the department, ordering and maintaining records of Continuing Education Units (CEU’s) for agency trainings, responsible for coordination of all intern activities including applications and scheduling
  • Organizes and summarizes data in various reports per department needs. This includes program dashboards for the ACT and other assigned programs.
  • Attends department specific staff meetings as appropriate to assist in supporting staff and in organizing and completing the job functions as listed in this description.

KNOWLEDGE, SKILLS & ABILITIES

  • Effectively communicate via written, verbal, in person and virtual methods.
  • General math skills.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Should be proficient in Word and Excel programs.

QUALIFICATIONS

Education Level

Associate's Degree or equivalent from a two-year college or technical school; or two years related experience and/or training; or equivalent combination of education and experience.

$15.75--$22.00
