·       Responding to LOA inquiries from employees, managers, owners, and HR 

Job Summary:

Reporting to the Workforce Operations and Payroll Lead, the person in this role will support the Workforce Operations Team’s objective to provide centralized, highly repeatable solutions that allow RSM to achieve business goals while balancing the needs of our employees.

The Workforce Operations Sr. Specialist will handle critical HR support functions and assist in delivery of HR including administrative, operational processes, onboarding procedures, employee updates, job changes, terminations, benefits administration, and transactions, and leave administration and transactions.  This role will handle more complex issues before escalating to the Workforce Operations and Payroll Lead and may help handle confidential matters requiring specialized knowledge or experience.  

Essential Duties:

  • Execute and support a vast array of centralized operational HR business processes spanning the employee and owner lifecycle.  This may include:
    • Monitor regular reporting and completion of pre-hire, onboarding and offboarding tasks
    • Administration of the education, tuition, and certification reimbursement programs, as well as queries and reporting
    • Support Talent program administration, inquiries, and tracking related to annual compliance surveys, employment verifications, etc.
    • Actively maintain service queue through HR applications (Workday and ServiceNow) and assist the Talent Service Desk as next level Tier 2 support 
    • Provides excellent service to the employees, owners and Talent Team members providing redirection and educational opportunities to increase customer knowledge while resolving the current situation. 
    • Collaborate effectively within and outside the team to ensure integrated approach to the Talent experience 

Act as a SME with specialized knowledge or experience to be able to lead a large team project 

  • Processes transactions related to one of more HR specialties or events with a high degree of accuracy and strict adherence to written procedures and SLAs.  This may include job data changes, promotions, transfers, benefits enrollment and modifications, terminations, and supervisory organization management 
    • Resolve data issues and make corrections as needed 
    • Monitors HR transactions for adherence to defined processes and denies or escalates exceptions. 
    • Maintains HR data in proper systems to ensure accuracy and data integrity.  
    • Conducts pre and post transactional audits as needed
  • Help execute all aspects of the Benefits administration process, including but not limited to:  
  • Research, resolve, and respond to benefits inquiries from employees, managers and HR requiring specialized benefits knowledge  
  • Providing benefit plan interpretation based on predetermined guidelines from the Benefits Manager 
  • Processing benefits transactions including day to day transactions, open enrollment, new hire/terms processing, life events, etc.
  • Help manage all aspects of the LOA administration, included but not limited to:  
  • Responding to LOA inquiries from employees, managers, owners, and HR 
  • Scheduling meetings with employees, HR, and Managers, and owners to ensure a positive and informed experience 
  • Partner closely with third party administrator to track approvals and resolve discrepancies 
  • Assistance with return-to-work processes for employees and owners returning from leave 
  • Ensure all leave related actions are accurately processed in all applicable systems and with third-party administrator to ensure employees are paid accurately and correctly.
  • Provides support to Workforce Operations Lead for special projects, including special talent initiatives, performing research and other tasks as needed 
  • Assists in onboarding and integration of Workforce Operations Specialists or Sr. Specialist 1
  • Handles more complex issues related to operational HR business processes, transactional items entered  into Workday, benefits administration, and leaves of absence.

EDUCATION/CERTIFICATIONS

 (MUST NOTE REQUIRED OR PREFERRED)

Bachelor’s Degree in Human Resources or related degree  

TECHNICAL/SOFT SKILLS

(MUST NOTE REQUIRED OR PREFERRED)

Required:

Minimum of 3-4 years experience in HR administration 

Minimum of 3-4 years experience using an HRIS 

Excellent written and verbal communications  

Strong customer service and interpersonal skills 

Handles sensitive and confidential information with discretion  

Strong attention to detail and quality 

EXPERIENCE

Workday or ServiceNow experience preferred

LEADERSHIP SKILLS

Preferred Requirements:

  • Maximum experience of 6 years
  • Ability to communicate complex information easily and effectively in a meaningful manner

  • Ability to manage concurrent projects and/or programs

  • Ability to work independently, effectively prioritize work and consistently meet daily, weekly, and monthly deadlines 
  • Must be able to efficiently and effectively manage a high volume of inquiries and respond in a timely manner
