Summary :

The Human Resources Assistant supports the talent acquisition specialists by coordinating and leading many aspects of the logistics of the recruitment process from the start of the search (posting approved) through first day of orientation of all newly hired team members. Serves as a liaison between new hires and internal departments through the new hire processes and establishes and maintains positive working relationships among internal and external customers.

Job Description:

KEY ACCOUNTABILITIES:

  • Develops and leads an effective and working knowledge of background checks, drug screen requirements, and payroll set-up. Handles sensitive issues and maintains confidentiality at all times.

  • Assists the talent acquisition specialists with the facilitation of recruiting and hiring using critical thinking and analytics to schedule interviews, create offer letters, check licensure and credentials, complete and assess background checks, schedule drug screen tests, mail new hire packets, schedule first day orientation, and process information using effective problem-solving and decision making skills.

  • Partners with security regarding badge issuance policies and best practices. Creates standard work and trains volunteer staff and security on internal processes.

  • Partners with the Human Resources Service Center regarding employee change forms and set-up in payroll. Owns the analytic knowledge to review and approve employee change forms prior to submission to the Human Resources Service Center.

  • Partners with legal and human resources consultants regarding personnel files. Owns the process of integrating personnel files during mergers and acquisitions.

  • Partners with marketing regarding social media job postings and mass mailings. Designs strategy of which postings are posted where and for how long, and tracks results.

  • Partners with external organizations and schools regarding career and job fairs. Coordinates activity and planning prior to and after events.

  • Collects, enters, processes, reviews, corrects, and archives all paperwork relative to new hire process to ensure documents are accurate. Reviews I-9 documents and scans all documentation in the online team member employee file.

QUALIFICATIONS:

  • High School diploma or GED preferred

  • Must be 18 years of age

  • One year of experience in a similar role

PHYSICAL DEMANDS:

  • Ability to move freely (standing, stooping, walking, bending, pushing, and pulling) and lift up to a maximum of twenty-five (25) pounds without assistance

  • Job classification is not exposed to blood borne pathogens (blood or bodily fluids) while performing job duties

WORK ENVIRONMENT:

  • Climate controlled office setting with daily movement throughout the facility

  • Interaction with department members, applicants, and Operational Leaders

Job is hybrid. Location is 3 Neenah Center- required to be onsite for Orientation every Monday, after training flexible schedule.
