The Intm Doc Support Analyst is a developing professional role which integrates in-depth specialty knowledge with a solid understanding of industry standards and practices; demonstrates good understanding of how the team and area integrate with others in accomplishing the objectives of the subfunction/ job family. Applies analytical thinking and knowledge of data analysis tools and methodologies. Breaks down information in a systematic and communicable manner. Developed communication and diplomacy skills are required in order to exchange potentially complex/sensitive information. Moderate but direct impact through close contact with the businesses' core activities. Quality and timeliness of service provided will affect the effectiveness of own team and other closely related teams.

This role will be a part of the Virtual Data Room (VDR) team within Post-Closing, focused on managing and maintaining secure virtual environments where sensitive data is stored and accessed during various stages of corporate transactions. You will be responsible for ensuring the integrity, confidentiality, and accessibility of data within the VDR platform.

Responsibilities:

  • Administer and manage virtual data rooms, including setup, configuration, and user access controls.
  • Coordinate with internal stakeholders & external parties to facilitate the smooth operation of the VDR platform.
  • Monitor and track VDR activity, enforce security protocols to safeguard confidential information.
  • Ensure compliance with regulatory requirements and industry standards related to data privacy and information security.
  • Conduct regular audits and assessments to identify vulnerabilities and mitigate risks associated with data exposure or breaches.
  • Provide technical support to users regarding VDR platform functionality, access issues, and document management tasks.
  • Collaborate with IT teams and VDR service providers to address system upgrades, patches, and other maintenance tasks to minimize disruptions to ongoing business activities.
  • Maintain comprehensive documentation of VDR configurations, user permissions, and security policies.
  • Generate reports on VDR usage statistics, access logs, and security incidents for management review and regulatory compliance purposes.
  • Analyze data trends and user behavior to identify areas for improvement and optimization of VDR workflows.
  • Minimizes risk to the bank through a solid understanding of procedural requirements - provides solutions to reduce errors, and to adhere to audit and control policies.
  • Timely management, escalation and resolution of all requests / inquiries / issues / errors related to loan documentation.
  • Applies a solid understanding of how the team and area integrate with others in accomplishing the goals of the sub-unit, and the wider Operations group.
  • Provides informal guidance and/or on-the-job-training to new team members.
  • Utilizes advanced communication, interpersonal and diplomacy skills to interact with colleagues, management, and internal/external clients, in order to exchange potentially complex/sensitive information in a concise and logical way, while being sensitive to audience diversity.
  • Has direct interaction with external customers to disseminate or explain information.
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

  • 2-5 years relevant experience
  • Previous experience in data management and compliance or equivalent training and experience
  • Ability to analyze data, assess risk and solve problems
  • Demonstrated ability to synthesize, prioritize and drive results with a high sense of urgency, and ability to multi-task under tight deadlines.
  • Must be highly organized and able to work in a fast-paced environment managing multiple projects effectively.
  • Interpersonal, organizational, and analytic skills.
  • Must be diligent with a high attention to detail.


Education:

  • Bachelor’s/University degree or equivalent experience

Primary Location Full Time Salary Range:

$51,100.00 - $71,300.00
