The Sales & Marketing Assistant will provide administrative support to the commercial teams across the UK & Benelux region. Based in London, the job holder will act as the go-to person for the team, responsible for general administration tasks as well as support the smooth organization and running of sales meetings / events and staff on-boarding.
Responsibilities
- Act as the go-to person for the UK & Benelux leadership team.
- Arrange all aspects of office meetings, including room reservations, IT setup, presentation initialization, catering, external guest sign in and attendee updates.
- Organise shipments to European employees, offices, or conferences.
- Work alongside the Office Manager to ensure best practices, support office events, and liaise with building reception and security teams.
- Maintain office management duties during the Office Manager’s annual leave, including contractor meetings, maintenance logging, stationary/kitchen ordering and building access control.
- Prepare purchase orders, track payments, and review accruals for FP&A.
- Support the leadership team with administrative housekeeping & agenda preparation
- Collaborate with European EAs and country coordinators to identify and implement process improvements for invoicing, events, and field sales onboarding.
- Oversee all aspects of event planning, logistics, and execution for UK & Benelux Sales & HCP events, including venue sourcing, site visits, vendor liaison, scheduling, and internal team coordination.
- Plan budgets, negotiate, and process contracts with external suppliers, including hotels, dining, team-building companies, and AV teams for external events
- In collaboration with EA and office manager, facilitate onboarding for new field sales hires

- Team-oriented able to collaborate with different teams across all functions and countries.
- Superior interpersonal skills.
Education and Experience
- Minimum of 3 years’ experience administration support/similar role
- Experience supporting multiple teams essential
- Event management experience preferred
- Fluent in English, Dutch a bonus.
Additional Information
- The position is hybrid. At least 2 to 3 days within London office, Hammersmith.
- Travel is estimated at 25% but will flex depending on business need.
- Able to provide overtime during lead-up to away meetings.
