We are seeking a Business Operations Specialist to join the Foundation in its mission of benefitting, supporting, and enhancing the California Community Colleges—the largest and most diverse system of higher education in the nation. What You’ll Do

The Foundation is looking for an individual to join our Success Center team who has experience supporting activities that focus on project administration, grant administration, and talent management. Our Center’s role is to support The California Community Colleges Chancellor’s Office and Foundation in implementing the Chancellor’s Vision 2030. This work is engaging, fast-paced, and ever-evolving and requires a flexible personality who enjoys working in a team-based environment. The Business Operations Specialist position will support the entire Success Center team by participating in organizational, project management, and other operations support activities.

  • Contribute to operational processes for the department, consistently evaluating processes to ensure overall effectiveness of program standard operating procedures.
  • Support the program's recruitment process by drafting job descriptions, assisting with resume review, and managing calendars for interview scheduling.
  • Maintain internal program recruitment databases and assist in tracking candidate progress.
  • Assist in the onboarding process for new hires and develop training materials as needed.
  • Communicate adeptly with high-level executives, draft written correspondence with the Chancellor’s Office and other system stakeholders and partners.
  • Coordinate and manage project timelines, deliverables, documentation, task lists, and departmental dashboards across portfolio.
  • Develop, implement, and manage project plans, including timelines, budgets, reports, and resource allocation coordinating with program staff to ensure projects are delivered on time, within scope, and on budget.
  • Align contracts, budgets, and other infrastructure to support grant requirements ensuring compliance with funder requirements.
  • Support the preparation and submission of grant reports and gather documentation.
  • Distill data for KPIs in a visually appealing way to present to the CEO, executive team, and other audiences.
  • Work with Departments across the Center to develop specific project roadmaps or qualitative dashboards that assist the Center’s ability to tell our story of impact.

Attributes for Success

  • Experience tracking grant or project deliverables and timelines in a project management system.
  • Experience reviewing monthly financial reports, quarterly forecasts, spending matrixes, and measuring key performance indicators.
  • Experience coordinating multiple vendors/partners concurrently.
  • Experience modifying/reviewing contracts, tracking invoices, and accounts receivable.
  • Previous experience supporting, communicating, and working with senior leadership or executive staff.
  • Strong presentations and meeting facilitation skills with internal and external partners, to present technical information and processes in an easy-to-understand way.
  • Comfortable with technology and learning new systems, tools, or platforms.

Budgeted Annual Salary Pay Range:

$66,560.00 - $70,000.00

Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.
