Job Summary:

We are seeking a highly organized and detail-oriented individual to join our team as an Employee Benefits Account Coordinator. In this role, you will provide support to our Account Managers in all aspects of plan administration and client advocacy. You will be responsible for maintaining accurate account records, coordinating client meetings and events, preparing communication materials, and ensuring timely updates of client policies and data. The ideal candidate will have effective communication skills, the ability to work with multiple systems and software applications, and a solid understanding of group coverage types and benefits compliance activities.

Job Duties & Responsibilities:

Practical Competencies

  • Support the EB AM/AE in all aspects of plan administration and advocacy.

  • Maintain accurate and up-to-date account records, including client interactions, transactions, and any changes to policies or coverage.

  • Monitor carrier/BenAdmin discrepancy reports.

  • Assist EB AM with new client onboard and vendor installation workstreams.

  • Attend client meetings as needed.

  • Help coordinate in-person and virtual Client Meetings.

  • Support the preparation of Open Enrollment presentations and pre-recorded videos as needed.

  • Audit all communication materials, system builds, and benefits website.

  • Collect and maintain all relevant policy and plan documents.

  • Support benefits compliance activities.

Technical Competencies

  • Ensure the timely update of client policy, client service agreement, commission, and chargeback data in required systems.

  • Respond to inquiries posted in system Activities initiated by EB, Accounting, Platform Services, and Enterprise Application Teams.

  • Service clients using Microsoft 365 products including Outlook, Excel, Word, PowerPoint, Sharepoint, Teams, and OneNote.

  • Fulfill client activities using a variety of software applications including vendor portals, client BenAdmin systems, and internal systems (e.g., Zywave, Mineral, etc.).

  • Navigate Sharepoint, AcriWorld, Workday, and Service Portal to source and exchange information, and request internal support services.

  • Submit eligible reimbursement requests through Concur.

  • Create/facilitate client communication collateral using preferred platforms (e.g., InDesign and marq.)

  • Utilize internal Tech Team expertise to resolve system data files and eligibility issues.

  • Prepare vendor enrollment file by extracting demographic and eligibility data from client BenAdmin system or alternate source.

  • Exercise knowledge of all group coverage types (e.g., medical, dental, vision, life, disability, voluntary, EAP, FSA/HSA/HRA, etc.) daily to educate client and employees.

  • Utilize outsourced resources as assigned (e.g., ResourcePro).

Tactical Competencies

  • Review and understand client policy provisions and plan coverage.

  • Problem-solve routine administration issues.

  • Apply foundational knowledge of legislative mandates (e.g., ERISA, HIPAA, ACA, COBRA, FMLA) to Plan administration inquiries and resolution.

  • Run/prepare renewal census and load quoting system, as required.

  • All other assigned tasks

Requirements:

  • Thoroughly enjoy taking great care of customers

  • Desire to manage a book of business and maintain relationships

  • Basic to intermediate knowledge of insurance products and coverage

  • Ability to carry out concrete tasks and problem solve abstract issues

  • Strong ability to remain calm under pressure

  • Ability to develop meaningful relationships with insurance carriers and with fellow employees

  • Demonstrate excellent oral and written communication skills

Education/Experience:

  • High school diploma, college education preferred

  • Life and Health License required

  • Experience working in the employee benefits insurance market

Pay Details:

Annual Salary: $52,000 - $70,000
