ROLE SUMMARY

The Meetings, External Engagements, & Travel (MEET) EMEA Hospitality Analyst is responsible for supporting hotel, venue selection operations within EMEA and expanded meetings and events/meetings planning. This colleague will have responsibility for booking hotels and venues for qualifying events; coordinating with Meeting Planning Agencies (MPAs) to ensure hotel and venue information is communicated; and responding to hotel and venue selection-related questions as needed. This analyst will liaise directly with commercial colleagues for any hotel/venue-related business needs, and he/she will serve as the first point of contact in addressing any issues that arise related to the hotel/venue selection process.

This role will work closely with the Regional Hospitality Lead, Regional Process Lead, MEET Regional Operations teams, in-market Service Ambassadors, and business and supplier stakeholders as needed. This role will report directly to the Regional Hospitality Lead.

Hotel and Venue Selection

  • Execute day-to-day hotel and venue selection activities for EMEA, based on engagements assigned by (and under direct supervision of) Regional Hospitality Lead
  • Coordinate with commercial colleagues to ensure that all business needs and requirements related to hotel/venue selection are met
  • Ensure compliance with Pfizer policies and local laws related to hotel/venue selection
  • Ensure alignment with KPIs related to timelines for hotel and venue selection
  • Coordinate with MPAs to ensure all hotel and venue information has been communicated 
  • Coordinate with MPA to support reconciliation activities are executed accurately and in line with SLAs 
  • Negotiate the best possible prices and concessions for Pfizer
  • Validate and clarify all supplier responses prior to presenting them for selection
  • Serve as first point of contact in resolving issues that arise related to the hotel/venue selection process; escalate any questions or challenges to the Regional Hospitality Lead on an as-needed basis
  • Ensure all deadlines and SLAs are adhered to
  • Ensure all key fields and requirements are kept up to date in relevant systems (Cvent, etc)

Standard Hotel Contract (SHC)

  • Oversee execution of all hotel and venue contracts, ensuring that Standard Hotel contract is utilized
  • Maintain working knowledge and close relationships with SHC compliant properties
  • Develop strong working knowledge of compliant hotels in region in order to make consultative recommendations to the business

Stakeholder Engagement

  • Serve as the primary point of contact for the business for day-to-day hotel and venue selection-related questions and activities
  • Maintain positive hotel partner relationships

BASIC QUALIFICATIONS

  • Minimum of bachelor’s degree in Hospitality, Business, or a related discipline
  • Up to 2 years of experience in meeting planning or venue selection
  • Fluency in English is a must; additional languages preferred
  • Proficiency in PC skills (MS Excel, Word, PowerPoint) required
  • Comprehensive knowledge of the meetings & travel industry
  • Ability to manage multiple stakeholders
  • Good organizational skills to coordinate and manage multiple priorities
  • Strong technical skills in managing transactions within a system
  • Strong written and verbal communication skills enabling effective communication with all levels of management
  • Strong customer service skills and mindset
  • Understanding of compliance / financial controls
  • Strength with multitasking and ensuring accurate detail
  • Ability to work under pressure and to handle several projects at once
  • High level of self-motivation, energy and flexibility
  • Strong interpersonal and organizational skills
  • Must have strong negotiation skills
  • Strong supplier relationships

PREFERRED QUALIFICATIONS

  • Previous experience with pharmaceutical companies is preferred
  • Experience in pharmaceutical meetings operations
  • Experience with accounting or compliance / audit transactions, preferably in a shared service with strong compliance controls
  • Understanding of MAPP Policy terms and healthcare compliance policies
  • Comprehensive knowledge and expertise in the technology landscape that supports MEET
  • Knowledge of Cvent
  • Background in hotel souring and venue selection preferred
  • Comfort with ambiguity, anticipates changes, and influences direction of innovative operational strategies
  • Comprehensive knowledge of the meetings & travel industry
  • Fundamental knowledge of a large, customer facing operations team
  • Ability to engage with stakeholders to resolve issues and achieve objectives
  • Proficiency with data analysis and visualization
  • Experience with Foreign Corrupt Practices Act transactions preferred

PHYSICAL/MENTAL REQUIREMENTS

Position is located in Thessaloniki, Greece. Travel would be for work related needs only.
