What we are looking for:

We are currently seeking an Executive Secretary to provide administrative support to a Department of Homeland Security client. The candidate will provide mission support services that focus on strategic communications, digital correspondence, facilitation, planning, and logistics.

The ideal candidate will demonstrate the ability to inspire and drive program and change management excellence; ensure consistency and structure, and guarantee outstanding communication, coordination, and execution. This role will interact with all levels of staff and will push for results while building great cross-functional relationships based on trust and accountability.

What you will do as an Executive Secretary:

  • Support client through effective task management and acting as main point of contact for the office. Oversee coordination of facilitation and planning within the office.
  • Operate daily executive task tracking correspondence management system to track and monitor all internal and external tasks.
  • Ensure task coordination across the branches and sub-divisions while providing quality control to advance information-sharing. Provide management and oversight over complex and outgoing tasks.
  • Lead administrative and logistical activities for the team, including daily sync, SharePoint site development and maintenance, and develop and improve processes and procedures.
  • Support the development and execution of special projects and initiatives.
  • Establish and maintain effective working relationships with internal and external stakeholders.
  • Keep informed of the mission, organizational structure, key personnel, current activities, status of current projects, and any issues affecting the organization. Research and understand the evolving threat environment as it relates to the Department of Homeland Security’s priorities, specifically to critical infrastructure.

Qualifications:

  • Ability to obtain and maintain DHS HQ suitability required; current preferred.
  • DHS/CISA experience preferred.
  • BA/BS required. 
  • Must be local to the DC metro area, as work is hybrid.
  • 2-5 years of relevant professional experience.
  • Self-directed and possess leadership, organizational, communication and interpersonal skills with the ability to work independently with no supervision.
  • Ability to demonstrate sound judgment and decision-making skills with clients and colleagues.
  • Ability to multi-task and excel in a team environment. Ability to manage several different stakeholders and lead events and initiatives.
  • Proficiency in Microsoft Office Suite applications, especially Word, Excel, PowerPoint, Outlook, SharePoint, and Teams.
