The “Project Manager – Tender support” is responsible for project managing and co-ordinating the business requirements for the contact centre tender process for Bord Gáis Energy. You will act as lead PM gathering requirements from key departments including DTS, Finance, Operations, Legal, and the senior management team.  You will work closely with the Procurement lead on the RFP process, evaluation and contract negotiation requirements for outsourced customer care for Bord Gáis Energy. This role requires a detail-oriented individual with strong project management, and communication skills to ensure the procurement of services aligns with the organization's objectives and budget constraints.

About the Role

Tender Development:

  •  Gather requirements for various categories of services. (Inbound and outbound care calls, webchat support, inbound and outbound sales, collections, and administration tasks) and provide to the procurement department.  Work closely with the Procurement Lead responsible for running the tender process.
  • Gather data on current performance, costs, SLA performance and other key metrics and establish a baseline position
  • Collaborate with stakeholders to define procurement requirements and specifications for the RFP process.  Write up specifications where required.
  • Determine compliance requirements with relevant laws, regulations, and company policies during the tender process.
  • Ensure the Privacy, Infosec, Customer care and experience, Finance, DTS, Business Continuity and any other relevant departments are engaged and provide their requirements for the RFP.

Supplier Selection and Evaluation:

  • Co-ordinate the evaluation of the supplier RFP proposals and submissions by all evaluators in each stakeholder department.
  • Work closely with business stakeholders and the procurement department to agree the evaluation criteria for the RFP and methodology.
  • Determine any DTS change requirements associated with selection of the successful supplier and project manage the change requirements to implement any new arrangements successfully.
  • Make recommendations on potential suppliers based on capability, vendor performance, vendor reputation and experience, overall fit and alignment. 

Negotiation and Contract Management:

  • Assist the procurement team in negotiations with suppliers to secure favourable terms and conditions.
  • Review contracts and support the contract negotiations with the procurement and legal teams.
  • Collaborate with legal and finance teams to finalize contracts.

Cost Analysis and Budget Control:

  • Conduct cost analysis and cost-benefit assessments for different procurement options in the tendering phase.
  • Ensure alignment with financial budgets and obtain financial approval on the selected proposal. 

Documentation and Reporting:

  • Maintain accurate records of all procurement/tendering activities, including contracts, agreements, and supplier information.
  • Prepare regular reports on tendering project status
  • Run governance boards with all key stakeholders and prepare the briefing packs in advance of each meeting.  Organise the meetings and agendas.  Prepare and arrange briefings for Board level stakeholders on progress

Stakeholder Engagement:

  • Collaborate with cross-functional teams, including finance, legal, and operations, to ensure alignment on procurement strategies and expectations from the new vendor
  • Communicate effectively with internal stakeholders on progress of the tendering process.

Transition to management of contract ‘in-life’

  • Determine requirements for transition to the new arrangements and create a project plan with clear deliverables, timescales, budget alignment and purpose
  • Engage and all leads for each key area and ensure each are accountable for deliverables
  • Determine DTS change requirements, if any, and work closely with the DTS team to deliver
  • Project manage the transition plan to deliver on time, with regular governance and briefings to the leadership team on progress, identifying and resolving risks, blockers, issues associated with delivery of the plan

About You

  • Proven experience in project management, ideally with experience of procurement and supply chain, with a minimum of 5 years of relevant experience.
  • Strong negotiation and communication skills.
  • Excellent project management and organizational abilities.
  • Analytical mindset with the ability to make data-driven decisions.
  • Strong attention to detail and accuracy.
