Introduction:
Seeking a global real estate person for Facility, EHS and Security management in Penang
Your Job:
Facility Management:
- Respond to facilities issues and emergencies; building operations first point of contact
- Responsible for overall site management of inbound mail services and final delivery
- Check the availability and ordering sanitary materials, coffee, bottled water, office supplies
- Cleaning company auditing
- Perform daily/weekly walks of the office checking for maintenance issues and hazards.
- Manage with the landlord the HVAC seasonal scheme
- Arrange a contract with recycling company for separated trash collection and monitor execution
- Coordinate facilities operations for special events, training rooms, and guest setups
- Ensure equipment in the canteen, coffee corners and break rooms is serviced and supplies are properly stocked (schedule annual maintenance, filters for dispensers, coffee machines etc.)
- Manage inventory and supplies related to site shipping process
- Ensure Risk assessment, emergency response and BCP is published; quarterly review w manager
- Adhere to Policies, Processes & procedures and also the statutory and compliance documents
- Assist business teams in all such ISO, Internal, External, audits and ensure necessary documentation are done.
- Coordinate with Engineering team for any such issues that need assistance
- Ensure caterers are maintaining a high standard of hygiene in the services areas
- Escalate any issues to Manager as first escalation
- Prepare weekly rosters for Helpdesk, Front Office, Mail Room
- Adhere to SLA & KPI as agreed with vendors
- Ensure accident or crisis management is addressed immediately
- Discuss and assist manager on monthly basis on the vendor performance matrix
Global Real Estate PO and Budget Management (in conjunction with team lead)
- Assist with all US Non-Fab rent POs for the year New hire should be trained on OPEX and CAPEX
- Assist with opening and maintaining all US Non-Fab ancillary spend POs for the year (Vending, Lease Mgmt, Janatorial, etc)
- Work with vendors on unpaid invoices
- Manage work orders that arise throughout the year
EHS Support:
- Responsible for managing & implementing Environmental, Health, Safety & Security (EHS&S) programs for the site.
- Conduct various EHS&S trainings & orientation for the site. Ensure that all employees go through the mandatory EH&S training and keeps proof of completion for each employee.
- Conducts audits and inspections to company EHS&S standards & guidelines
- Handle emergency planning including conducting emergency & evacuation drills Interface with Fire systems as needed
- Interface with local regulatory agencies as necessary
- Assist with maintaining & checking emergency equipment including first aid kits/supplies, personal protective equipment, etc.
- Assist with company infectious disease response & preparedness activities
- Work within overall company EHS&S incident reporting framework and serve as the point of contact for site Crisis Management needs
- Ensure we have EH&S risk assessment for every job-description
- Audit the medical kits for expired and depleted items
- Coordinate Safety Committee Meetings (SCM) and manage compliance in all aspects of the SCM
- Complete EHSS incident investigation as needed
- Assist with mitigation of observed and reported Safety Hazards / EHSS Risks
- Monitoring all relevant EHSS requirements (Regulatory and other) and ensuring all business aspects are in compliance.
- Be a Malaysia Registered Safety Officer
Security:
Maintain Security Operational Policies and Procedures.
- Global Security Policy and Standards.
- Property Access Management.
- Security System Management
- Personnel Access Management
- Protection Officers Operation Management.
- Security Emergency Response Operation Management.
· Visitor Management
· Incident Reporting
- Submit incident report to APAC Security Manager.
- Maintain all security logs, reporting, incidents, etc.
- Annual Security Risk Assessment and action plan.
- Annual budget for Security Manpower and Physical Security system contract.
- Monthly expense budget tracking and reporting.
- General point of contact for local security compliance incl regular inspections.
- Lead and coordinate 3rd party Certification, Customer, local authority compliance audit.
- Pandemic emergency support.
Required Qualifications:
- Education: Bachelor's degree in engineering, accounting, facility management or any related field.
- Experience: 3-5+ years of experience in Facilities and Safety management
- Knowledge of building systems, maintenance, and operations
- Ability to manage budgets PO placement, and vendor relationships
- Have good analytical and problem-solving skills.
- Self-starters must be able to work with little direction and with a high level of self-motivation.
- Demonstrated superior communication (written and verbal), teamwork, and organizational skills.
- Excellent computer skills, Word, Excel, PowerPoint etc.
- Familiarity with local regulations and safety standards.
- Certified Safety & Health Officer (green book holder)
