Invoicing Associate

The Invoicing Associate is responsible for processing of supplier invoices and sending accurate invoices to our customers. These are critical responsibilities that directly impact the satisfaction of Winfield United Crop Nutrients’ suppliers and customers. Successful candidates will enjoy working on a team but handling most of their daily work independently, be detail oriented and a good communicator.

Typical work schedule is 40 hours per week (8 hours/day, M-F) and is eligible for benefits. Overtime may be required at times.

Required minimum of 2 designated days per week in the Ames office location with option for remote work the remaining 3 days per week once initial training period passes.

Administrative Activities

  • Document retention – Sales contracts, purchase contracts, BOL and DocuSign responsibilities
  • Reporting – Daily, weekly or monthly requests as needed
  • Phone rotation for CNBU customer service lines
  • ACH payment remittance distribution
  • BOL updates for truck and rail orders – Identify and update FAST with appropriate information as required, retain documents in FAST and distribute as needed
  • Communicate with a diverse group of people from a variety of departments
  • Other duties as assigned

Invoicing

  • Process direct ship supplier invoices and generate customer invoices for USA and CAD
  • Manage and process direct ship payables
  • Maintain 2 business day turnaround for direct ship invoicing
  • Develop basic understanding of supplier B2B for auto-invoicing
  • Develop basic understanding of auto-invoicing for Winfield owned and leased terminals
  • Function as back-up for daily download processing

Required Education/Experience:

  • High school degree or GED.  At least 1 year of experience in administrative or accounts payable or associates degree desired but not required.
