Talent Acquisition Back Office Specialist

Location: Bogotá

Hybrid position

Grade: 10C

About the Role

We are looking for a highly organized Talent Acquisition Back Office Specialist to support external onboarding processes. This role is essential in ensuring that new hires enjoy a seamless transition into the organization, managing documentation, compliance, and coordination with multiple internal stakeholders.

Key Responsibilities

  • Coordinate and manage all steps of the external onboarding process.
  • Prepare and review hire documentation to ensure accuracy and compliance with internal policies and local labor regulations.
  • Work closely with Recruiters and Hiring Managers to ensure all pre‑employment requirements are completed on time.
  • Maintain onboarding trackers, databases, and digital records up to date.
  • Support background checks, medical exams, and reference verification processes.
  • Communicate proactively with candidates to guide them through each stage of onboarding.
  • Generate onboarding reports and support audit processes.
  • Identify process improvement opportunities to enhance the onboarding experience.

Requirements

  • Bachelor’s degree preferred
  • 1–2 years of experience in HR back office, onboarding, or administrative HR roles.
  • Strong attention to detail and a high sense of responsibility.
  • Ability to work with confidential information and manage multiple requests in parallel.
  • Excellent communication and coordination skills.
  • Proficiency with Microsoft Office (Excel, Outlook, Word) and HR systems.
  • Experience working with onboarding workflows or documentation processes.
  • Customer‑service–oriented mindset.
