JOB DESCRIPTION:

SUMMARY OF POSITION

The State Practice Coordinator is responsible for supporting and coordinating operational, scheduling, and provider lifecycle functions across assigned state practices. This role serves as a centralized oversight and escalation point for provider scheduling changes, paid time off (PTO), continuing medical education (CME) leave, reimbursements, service data collection, and provider onboarding activities. The State Practice Coordinator works in close collaboration with state clinical leadership and serves as a key point of contact for providers from post‑offer through onboarding.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Provide oversight and coordination of provider schedule changes, ensuring timely communication, accuracy, and alignment with operational needs.
  • Maintain oversight of provider PTO and CME leave, including tracking, approvals in coordination with leadership, and documentation compliance.
  • Coordinate and oversee provider reimbursements, ensuring accurate submission, tracking, and follow‑up in accordance with organizational policies.
  • Gather, compile, and maintain service and operational data related to provider productivity, coverage, and scheduling as requested by leadership. Prepare and distribute reports related to scheduling, leave usage, onboarding status, and service data as requested.
  • Serve as the primary coordinator for provider onboarding, ensuring all required operational steps are completed prior to start date.
  • Act as the post‑offer point of contact for providers, supporting communication, coordination, and issue resolution through onboarding and early employment.
  • Function as an escalation point of contact, in partnership with the State Director of Nursing (DON), State Medical Director, and designated state team members.
  • Collaborate with state and practice leadership to identify operational gaps, risks, and improvement opportunities related to provider operations.
  • Maintain effective working relationships with providers, clinical leaders, operations staff, and administrative teams.
  • Participate in required meetings and contribute to state and organizational operational initiatives.
  • Perform duties in accordance with organizational operational guidelines and professional standards.
  • Carry out additional job-related duties as assigned to support practice operations.

KNOWLEDGE, SKILLS & ABILITIES

  • Previous experience in healthcare operations, practice coordination, or behavioral health administration preferred.
  • Ability to establish and maintain effective working relationships through written, verbal, and virtual communication.
  • Ability to follow direction, prioritize tasks, and work collaboratively under supervision.
  • Demonstrated ability to apply common‑sense problem solving to manage multiple variables in standardized operational situations.
  • Ability to read, interpret, and apply policies, procedures, schedules, and reports.
  • Proficiency in writing routine reports, maintaining documentation in electronic systems, and communicating via email and virtual platforms.
  • Ability to communicate effectively with providers, leadership, and cross‑functional team members.

Other Qualifications

  • Successful completion of background check including criminal record, driving record, abuse/neglect and fingerprint check.
  • Completion of New Hire Orientation at the beginning of employment.
  • All training requirements including Relias at the beginning of employment and annually thereafter.

QUALIFICATIONS

Education Level              

Minimum of high school diploma or GED is required.

One year of relevant experience is required.

Pay Range:

$43,900.00--$61,370.00
