Job Description

Are you looking for an opportunity for high-level ownership in a fast-paced organization while having a lasting impact on your team and Leadership?

We are seeking a highly organized and detail-oriented individual to join our team. This role will be responsible for managing various meetings and processes related to our sales operations. Additionally, the successful candidate will handle reporting responsibilities and provide administrative support to the team. This position requires excellent communication skills, strong attention to detail, the ability to multitask effectively, take initiative, and work independently when required.

KEY RESPONSIBILITIES INCLUDE (but are not limited to) the following:

E2E Meeting Owner:

  • Coordinate key monthly and quarterly meetings, ensuring all relevant stakeholders are included.

  • Serve as a co-leader for the New Hire Network, facilitating onboarding and integration of new hires.

  • Plan and coordinate the annual Sales Meeting, including logistics and event coordination.

Sampling Process Owner:

  • Ownership of all sample order requests, ensuring timely processing and delivery.

  • Tracking budget for the orders and inform key parties timely on budget vs spending status.

Reporting Responsibilities:

  • Send daily reports each morning, providing essential information to relevant stakeholders.

  • Fulfill other reporting needs as defined by the Sales Ops Director.

Customer/Organization Structure:

  • Collaborate with IT and HR teams to maintain the Sales Roster and Sales Organization Chart accurately.

  • Manage customer segmentation and ship-to ownership data for Scorecard reporting purposes.

Tracking Initiative Readiness:

  • Monitor and track the initiative readiness based on key measures.

  • Collaborate with relevant teams to set up key initiative information.

  • Track the availability and readiness of initiative assets, such as marketing materials and promotional items.

Administrative Support for Function leader:

  • Provide administrative support to the function leader, including managing expenses, travel arrangements, calendar coordination, booking meetings, preparing slides, and taking meeting notes.

  • Follow up on action items and ensure timely completion of tasks.

Job Qualifications

  • High school degree or equivalent required.

  • Strong communication and collaboration skills both verbally and written. This role requires effective relationship management and communication with category communication and people across functions and levels.

  • Analytical Thinking Skills Experience and demonstrated skills with data systems, (Excel & Power BI) developing reports, analyzing data, extracting insights, conclusions, and recommendations.   Ability to complete daily/monthly data maintenance tasks

  • Organization & Operational Discipline - Demonstrated capability in organizational skills - both for self and in helping others keep organized.  Attention-to-detail is extremely important.

  • Agility - Since responsibilities can vary day to day, candidate will be able to maximize their time, completing routine tasks when time. Candidate will be able to analyze and improve existing processes, making suggestions that create a positive culture while increasing the efficiency of the team.

  • Embraces Change - This position requires agility and flexibility to flow to the work and manage multiple priorities and responsibilities. The candidate must have a high capacity while feeling comfortable moving between key work assignments.
