Job Summary

The role of the "Operations and Inventory Specialist", under the direct supervision of the Senior Operations and Warehouse Manager, is to assist in the reviewing and processing of contracts and orders. They will be responsible for processing orders, managing orders, managing, and tracking shipments and managing inventory. Position must also create reports for any and, all things relating to orders and inventory. Position must be comfortable learning and working directly with Salesforce and MFG (inventory management system) and, also with Microsoft Excel. Position must work well with sales staff, management, and customers in all aspects of reviewing, processing, tracking shipments/orders. Position requires excellent communication and interpersonal skills. Candidate must be well organized with ability to express complex ideas. Candidate must be self-motivated with a positive attitude towards serving our sales staff and client's needs, have confidential respect of privileged matters and commitment to ethical practices.

Essential Functions

  • Work with Salesforce and MFG to process orders/shipments

  • Work with Salesforce and MFG to process returns/repairs for the lab

  • Report status of quotes, sales orders, and commitment dates

  • Maintain organized products/shelves/warehouse

  • Facilitate regular inventory counts and inventory reports

  • Create and monitor reports for shipping progress/history

  • Attend to aspects of processing of client’s inquiries, quotes and orders by reviewing contracts and orders

  • Create shipping labels using shipping software systems

  • Pull products from shelves for scanning and shipping

  • Monitor progress of shipments, handle shipping challenges with shipper and customer

  • Follows instructions and responds positively to management direction; takes responsibility for own actions; keeps commitments; commits to long hours of work when necessary to reach goals; completes tasks on time or notifies appropriate person with an alternate plan

  • Observes safety, OSHA, HAZMAT and security procedures

  • Reports potentially unsafe conditions

  • Occasionally lift/pack boxes and orders

  • Must be willing to assist in daily operations where needed and requested

  • Able to manage multiple priorities and willing to accept changing priorities


Required/Preferred Education and Experience

  • High School Diploma required

  • Minimum of 2 years related experience and/or training within office administration
    required

  • Warehouse experience preferred

  • Experience with industry standard applications (MS Office, Internet Explorer, Google Chrome, Remote Support Tools, Windows, SQL, Salesforce)

  • Proven administrative and/or data entry experience

  • Above average attention to detail

  • Ability to learn new systems

  • Excellent verbal and written skills

  • Great time management skills

  • Strong analytical and reasoning skills to troubleshoot issues

  • The employee must frequently lift and/or move up to 50 pounds on a continuous basis.
