The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform clerical, administrative, and general office duties requiring advanced skills and significant experience.

How you will create an impact:

  • Heavy calendar management using Microsoft Outlook, booking meetings and maintaining the Executive's calendar; will provide Executive's daily schedule and the weekly team schedule.
  • Flawless execution of both domestic and international travel arrangements on a regular basis.
  • Manage day to day office tasks including registering visitors, preparing agendas etc.
  • Taking accurate phone messages and preparing correspondence; such correspondence may be of a confidential nature.
  • Coordinate all IT issues for the Executive including arranging for help desk support and systems related matters.
  • Book conference and team rooms for department, which include set-up and breakdown services (catering, equipment, etc.) for internal or client/broker meetings and/or presentations.
  • Set up new or transfer hires by ensuring all systems/applications needed are up and running on start-date.
  • Manage supply inventory and supply ordering as necessary.
  • Prepare Expenses and submit for review and approval in Concur
  • Prepare invoices through SAP

What you'll need to succeed:

  • Prior Executive Assistant experience supporting senior level management and ability to work with management at all levels and across departments 
  • Prior experience managing complex calendars and coordinating travel arrangements internationally and domestically
  • Must be a self-starter and take initiative
  • Excellent verbal and written communication skills and the ability to demonstrate prior experience supporting senior level staff such as product line executives, CFO’s and similar C-suite level staff
  • Proficiency in Microsoft office products
  • Proficiency in Sales Force preferred
  • Must have strong interpersonal, organizational skills and be detail oriented 
  • Maintain discretion and project professional demeanor

For positions based in New York City, the base salary range is $48,000 - 57,000. In addition, the position is eligible for a bonus in accordance with the terms of the applicable incentive plan.
