Position Summary: 

HRIS Coordinator is a member of the HR Operations team supporting The Americas. This role ensures data integrity is at the highest level through accurate data entry and reporting writing. Supports the effective operation of the HR system and technologies, analyzes system performance and provides technical support to users. Success requires exceptional attention to detail and strong comprehension of data systems related to Human Resources.

  • Accurate and on time HRIS data entries
  • HRIS reporting accuracy
  • Compliance with regulatory, laws and company policies

Responsibilities include but are not limited to:

  • Maintains and updates data in the Human Resources Information System (HRIS) modules including, but not limited to, compensation, payroll, and benefits 
  • Verifies accuracy and integrity of data through audits and query generation and coordinates data cleanup as necessary
  • Processes employee changes, such as new hires, terminations, and salary changes, and data as necessary 
  • Reviews new hire, termination, and data change forms for accuracy; validates Personnel Action Notices (PANs) 
  • Reviews and drives timesheet accuracy and completeness 
  • Sets up garnishments and related notifications 
  • Designs, generates and maintains standard and ad-hoc reports, such as vacation balance; distributes reports and provides back up for other types of reporting as needed 
  • Assist in gathering and organizing data for Affirmative Action and Equal Employment Opportunity reports, along with other compliance-related reporting requirements 
  • Supports HRIS training programs, including creation of job aids and other materials 
  • Supports the development of user procedures, guidelines, and policies and documents the process and its results 
  • Provides technical support for HRIS users as needed 
  • Completes unemployment and employment verification requests 
  • Assists with payroll related processes for North America  
  • Prepares data change report for IT and verifies data changes are complete 
  • Answers employee questions related to employee data and basic payroll inquiries 
  • Participates in the review, testing, and implementation of HRIS upgrades 
  • Identifies system errors and assists with troubleshooting; makes suggestions for process improvement and system usages 
  • Adheres to applicable Federal, State, and local laws as well as regulations from other applicable agencies 
  • Performs other duties as requested

Qualifications

  • 1-2 years HR system experience with hourly and salary workforce; experience with payroll a plus
  • Professional in Human Resources or related certification preferred
  • Understanding of multi-state regulations and laws
  • Experience with system integrations and data migration a plus
  • Highly proficient in computer systems (HRIS, timekeeping and payroll) 
  • Able to demonstrate exceptional attention to detail 
  • Proficiency in Microsoft Excel, including complex pivot tables, advanced formulas such as VLOOKUP and IF statements, filtering and sorting, conditional formatting, and data visualization; must be able to effectively combine and analyze data 
  • Capable of identifying and reporting errors and non-compliant data
  • Must be able to communicate effectively verbally and in writing to diverse levels of employees 
  • Must be able to execute multiple assignments at the same time and quickly adapt to priority changes 

Work Environment:

This position works primarily in an office environment using computers and technologyVerbal and auditory capability are requiredOccasional exposure in production plant where large equipment and noise are prevalentSafety gear is required in these areas.
