As an AGS Warsaw Center - PMO & SMP Implementation Manager you will be responsible for overseeing the Project Management Office, ensuring governance standards are met, and facilitating effective project execution across the organization. This role includes the implementation of the SMP (Standard Management Practices) Framework, support budget management, and preparing reports for both global and local centers.

In this role, a typical day will include:

  • Governance & Compliance:
    • Establish / Capture and maintain project governance framework being followed in the center, ensure proper documentation at center level and document processes.
    • Track & monitor all the actions from the governance meetings & ensure implementation / execution.
    • Monitor project compliance with established standards, providing guidance and support to project teams.

  • Visitor Management:
  • Own the Visitor Management process at AGS WAW center level & track / plan the visits of all the potential visitors at the site. Update the AGS Global visitors / events file on periodic basis to ensure smooth operations and great visitor experience.
  • Coordinate with security and facilities teams to ensure all visitor-related protocols are followed (site access cards, internet enabling, meeting rooms bookings etc.)

  • SMP Framework Implementation:
  • Lead the implementation of the Service Management Practices Framework across functions.
  • Ensure that all functional teams are trained and compliant with the SMP - Service Management Practices guidelines.
  • Continuously improve the SMP - Service Management Practices Framework implementation based on feedback and evolving organizational needs.
  • To review & maintain the site level BCM – Business Contunity Management document and get reviewed and signed off on yearly basis.
    • CMM – Center Maturity Model -  KPI Reporting:
  • Track and report on Center Maturity Model (CMM) Key Performance Indicators (KPIs).
  • Ensure that KPI – Key Performance Indicators data is accurate and reflects the current status of SMP sub practices maturity under Center Delivery
  • Provide insights and recommendations based on KPI - Key Performance Indicators analysis to support continuous improvement efforts.

  • Support Budget Management & SOW Documentation:
  • Helps in gathering budgets inputs at the site level, ensuring alignment with organizational financial goals.
  • Provide regular budget reports and forecasts to senior management.
  • Identify and address any budget variances in a timely manner.
  • To review the AGS WAW Center SoW – Statement of Work, document on an annual basis & update accordingly and get it signed off by the local leaders as per the defined management approval matrix.
  • Board Room Presentations:
  • Prepare and deliver presentations for board meetings.
  • Ensure all presentation materials are accurate, timely, and aligned with the strategic objectives of the organization.
  • Collaborate with various stakeholders to gather and synthesize relevant information.
  • Planning Townhalls:
  • Plan and execute townhalls to ensure clear communication of organizational updates and objectives.
  • Work closely with senior management to determine the agenda and key messages.
  • Coordinate logistics, including venue, technology, and materials

  • Global & Local Center Level Reporting:
  • Develop and manage reporting processes for both global and local centers.
  • Ensure timely and accurate delivery of reports to relevant stakeholders.
  • Analyze report data to identify trends, issues, and opportunities for improvement.

WHAT YOU’LL BRING TO ALCON:

  • Bachelor’s degree in business administration, Project Management, or related field.
  • Proven experience in a PMO – Project Management role with a focus on governance, budget management, and reporting.
  • Strong understanding of SMP – Service Management Practices Frameworks and CMM – Center Maturity Model  KPIs.
  • Understanding of Lean Six Sigma fundamentals / concepts – YB – Yellow Belt, GB – Green Belt certified individual would be preferred
  • Excellent organizational, communication, and presentation skills.
  • Proficient in project management software and tools - PPT, MS Excel - required
  • Ability to work collaboratively with cross-functional teams and senior leadership.
  • PMP, PRINCE2, or similar project management certification.
  • Experience in a global organization.
  • Strong analytical skills with the ability to interpret complex data.
  • Strong organizational skills and attention to detail are essential for managing multiple events and community activities.
  • Creative, confident, collaborative, problem solver and self-starter who is an adept multi-tasker.
  • Excellent writing and communications skill
  • Passion for communication and its impact on the coworker experience and company culture
  • Comfort providing guidance and feedback to senior executives.
