About This Opportunity  

As a Future Students Division Administrative Officer, you will provide essential administrative support to the Director and contribute to the overall success of the team. Your responsibilities will include managing day-to-day operations, liaising with stakeholders, preparing budgets and reports, and resolving issues. You will play a vital role in supporting the division's efforts to attract high-quality National and International students and contribute to UQ's global strategy.

Duties and responsibilities:

  • Executive Support: Provide comprehensive administrative support to the Director, managing their schedule, correspondence, and travel arrangements.

  • Operational Coordination: Coordinate meetings, planning sessions, and internal/external stakeholder communications.

  • Financial Management: Reconcile travel expenses, process requisitions, and manage office finances.

  • HR Support: Assist with HR-related tasks and ensure compliance with policies.

  • Team Support: Provide administrative assistance to the Future Students Team and support cross-team projects as needed.

  • Office Management: Maintain a well-organized office, manage records, and order stationery.

  • Problem-Solving and Decision-Making: Exercise discretion to redirect inquiries and resolve administrative issues.

About You:

We are seeking a motivated, organised and experienced Executive Assistant to provide a high level of executive assistance and administrative support to the Director, Future Students and Admissions. Candidates require previous administrative, executive support or secretarial experience; excellent interpersonal and written communication skills and the ability to prioritise their own workload and work independently to meet deadlines.

The selection criteria:

  • Completion of an undergraduate degree or completion of an equivalent combination of relevant experience and/or education/training;

  • Demonstrated experience in the techniques of high level diary, email and travel management within a busy and complex organisation;

  • High level of accuracy and attention to detail and proven ability to use initiative to identify solutions;

  • Highly skilled in utilizing computer software across various platforms, including Microsoft Office Suite and web-based tools.

  • Excellent organisational skills including the ability to prioritise and meet deadlines;

  • Demonstrated understanding of financial processes and ability to process invoices for payment and reconcile budgets.

  • Excellent interpersonal skills including the ability to communicate effectively with diverse groups within and external to the Division

  • Experience in the international education sector at tertiary level.

  • Broad knowledge of The University of Queensland policies and procedures including experience with UniFi and Sinet.

The successful candidate may be required to complete a number of pre-employment checks, including; right to work in Australia, criminal check, education check, AHPRA registration, mandatory immunisations, first aid and/or CPR certification, blue card check, etc.
