THE POSITION

Fast Forward is seeking an Office and Finance Manager to oversee our office, finances, and operations. We're looking for an entrepreneurial self-starter whose passion sits at the unique intersection of technology and social impact. The ideal candidate works well in a fast-paced startup environment and has an obsession for organization, attention to detail, and “keeping the trains running on time.” If keeping an organization humming and all the trains running on time is what makes your heart sing, this is the role for you!

This is the perfect role for someone who wants experience managing every aspect of a small organization. This person will report to the co-founder & President and work closely with Fast Forward’s Executive Director to drive success across our operations, programs, and partnerships. The Office and Finance Manager oversees a range of responsibilities in a true startup environment.

This position is based in San Francisco, CA; it is a full-time, in-office role (no remote work).

PRIMARY RESPONSIBILITIES

Office Manager:

  • Our team of 16 (and growing!) loves our office, a former officer’s house in the Presidio we affectionately refer to as “the fort.” Help us with making it an organized and welcoming space for our team and work and events.
  • Help keep everything stocked, including ordering office supplies and snacks.
  • Spearhead and coordinate team retreats, celebrations, birthdays, work anniversaries, etc. 
  • Support hiring managers with recruiting and onboarding support, performance management, and professional development as needed.
  • Work with vendors and service providers for office maintenance, such as plant services, IT support, and supply deliveries.
  • Manage organization-owned laptops and other hardware.
  • Manage the systems that keep Fast Forward running, including Google Workspace, Notion, Slack, HubSpot, and Zoom. 
  • Maintain holiday calendars, email distribution lists, and screen incoming general inquiries.
  • Assist leadership with calendar scheduling.
  • Assist in preparing board meeting materials.

Finances:

  • Act as the point-person with our team, alumni portfolio, and accountants on financial matters.
  • Keep Quickbooks Online up to date, adding new grants, paying bills, categorizing expenses, monitoring credit card use, and interfacing with accountants for monthly close.
  • Manage our grants to tech nonprofits, including writing grant letters, managing our fiscal sponsorship agreements, and writing grant payments. Fast Forward has distributed almost $50M to tech nonprofits!
  • Support audit by maintaining comprehensive records and interfacing with the audit firm.

WHO WE'RE LOOKING FOR

We're looking for someone with these specific traits and experience:

  • 2+ years of professional experience with a strong attention to detail 
  • Some experience with bookkeeping or exposure to financial management, and a desire to take on responsibilities across an organization
  • Outstanding organizational skills (you love nothing more than an organization where all the trains run on time, and you want to be the conductor)
  • Excited by creating and maintaining systems (you love a good color-coordinated calendar)
  • You might use words like this to describe yourself: super detail oriented, self-driven, adaptable, love crossing items off to do lists, entrepreneurial, can-do personality
  • Passionate about technology and social impact, with a love for mission-focused entrepreneurs
