Facility Executive Job Description
Position Overview
The Facility Executive is responsible for overseeing the strategic planning, operations, and management of facility services across single or multiple properties. This role ensures optimal building performance, occupant satisfaction, and alignment with organizational objectives while managing budgets, vendor relationships, and compliance requirements.
Key Responsibilities
Strategic Facility Management The Facility Executive develops and implements comprehensive facility strategies that support business operations and enhance asset value. This includes creating long-term maintenance plans, capital improvement programs, and sustainability initiatives. The role requires aligning facility operations with organizational goals while identifying opportunities for operational efficiency and cost optimization.
Operational Oversight Day-to-day management encompasses coordinating all facility services including HVAC, electrical, plumbing, security systems, and building automation. The executive ensures continuous building operations through preventive maintenance programs, emergency response protocols, and vendor performance management. This includes overseeing janitorial services, landscaping, waste management, and space planning activities.
Financial Management The position requires developing and managing facility budgets, typically ranging from several hundred thousand to millions of dollars annually. This includes forecasting operational expenses, tracking capital expenditures, negotiating vendor contracts, and identifying cost-saving opportunities while maintaining service quality standards.
Compliance and Risk Management Ensuring compliance with local, state, and federal regulations is critical. The Facility Executive maintains building codes, fire safety standards, environmental regulations, accessibility requirements and occupational health and safety protocols. This includes managing building permits, inspections, and documentation while mitigating operational risks.
Vendor and Stakeholder Management The role involves selecting, contracting, and managing relationships with service providers, contractors, and suppliers. The executive coordinates with internal stakeholders including operations teams, HR, IT, and senior leadership to understand facility needs and deliver appropriate solutions.
Team Leadership Depending on organization size, the Facility Executive may directly supervise maintenance staff, engineers, coordinators, and administrative personnel. This includes hiring, training, performance management, and fostering a safety-focused culture.
Technology Integration Modern facility executives leverage building management systems (BMS), computerized maintenance management systems (CMMS), and IoT sensors to optimize operations. The role requires data analysis capabilities to track key performance indicators and drive continuous improvement.
Sustainability Initiatives Implementing energy efficiency programs, waste reduction strategies, and sustainable building practices has become central to the role. This includes supporting/ pursuing green building certifications (LEED, BREEAM) and meeting corporate environmental commitments.
Required Qualifications
Education: Bachelor's degree in Facility Management, Engineering, Business Administration, or related field. Advanced degrees or MBA can be advantageous for senior positions.
Experience: Typically 5- 6+ years of progressive facility management experience, with 3-5 years in leadership roles. Experience managing large portfolios or complex commercial properties is highly valued.
Technical Skills: Strong understanding of building systems, construction processes, and maintenance best practices. Proficiency with facility management software, Microsoft Office Suite, and data analytics tools.
Leadership Capabilities: Proven ability to lead diverse teams, manage multiple priorities, and influence stakeholders at all organizational levels.
Work Environment
The Facility Executive typically works in a combination of office and on-site environments, requiring regular property walkthroughs and inspections. The role may involve occasional evening or weekend work for emergency situations or major projects. Some positions require managing facilities across multiple locations. The work is dynamic, requiring adaptability to handle both planned initiatives and unexpected operational challenges.
