Mailroom and Facilities Support Specialist – JLL

What this job involves:

The Mailroom and Facilities Support Specialist plays a vital role in ensuring seamless operations across JLL's facilities. This hands-on position combines mail handling, package management, inventory control, and facility equipment maintenance to keep our workplace running smoothly. You'll be the reliable link between incoming materials and internal departments while maintaining accurate records and ensuring compliance with safety standards. Working collaboratively with various teams, you'll help create an efficient, organized work environment that supports JLL's commitment to operational excellence.

What your day-to-day will look like:

Receive, sort, process, and deliver all incoming and outgoing mail, packages, and accountable items using tracking systems to ensure accurate documentation and timely distribution to departments throughout the facility.

Handle pallets and packages with proper lifting techniques, inspect goods for damage upon receipt, and maintain organized storage areas while adhering to safety protocols and using personal protective equipment as required.

Clean, maintain, and restock bean-to-cup coffee machines and supplies across multiple locations, ensuring equipment functionality and inventory levels meet workplace needs.

Process certified mail, print shipping labels and postage, accurately weigh items for shipment, and maintain detailed records of all mailroom transactions and deliveries.

Conduct weekly paper deliveries to ten copy rooms and mailrooms, managing distribution schedules and coordinating with department contacts to fulfill supply requirements.

Respond to customer phone calls and inquiries with professionalism, providing information about mail status, delivery times, and mailroom services while resolving issues efficiently.

Operate company vehicles safely when required for deliveries or facility support tasks, following all traffic regulations and completing appropriate vehicle operation training.

Required Qualifications:

  • High school diploma or equivalent credential.
  • Valid driver's license with clean driving record and ability to complete vehicle operation training where applicable.
  • Physical capability to lift, bend, move, and stand for extended periods while safely handling packages, pallets, and equipment throughout the workday.
  • Demonstrated ability to follow written procedures and verbal instructions with strict attention to safety protocols, quality standards, and regulatory compliance (federal, state, and local).
  • Strong organizational skills with proven ability to maintain accurate records, manage tracking systems, and handle multiple concurrent tasks with minimal supervision.

Preferred Qualifications:

  • Previous experience in mailroom operations, warehouse environments, or facilities support roles.
  • Familiarity with shipping software, tracking systems, and basic computer applications for record-keeping and label generation.
  • Customer service experience with ability to communicate professionally via phone and in-person interactions.
  • Knowledge of proper handling procedures for hazardous materials and safety equipment usage in workplace environments.
  • Basic troubleshooting skills for office equipment maintenance and minor repairs.

Schedule: 1-Shift

Working Conditions:

This position may involve exposure to chemical and biological agents that could be hazardous to health if mishandled, including agents that may potentially affect reproductive health or fetal development. All safety procedures must be followed, and personal protective clothing/equipment will be provided and must be used as specified by company protocol.

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Estimated compensation for this position:

42,723.00 – 42,723.20 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
