Summary:

Represents Memorial Healthcare System (MHS) and effectively articulates the MHS mission to both internal and external constituents involved in the enrollment of prospective employees. This position is responsible for working in tandem with recruitment and leadership to target appropriate populations to maximize attendance and enrollment. Responsible for assisting with on- and off-site events including the development, planning, logistics, implementation, and administration of the event planning process.

Responsibilities:

Reserves event space, cross references calendars, coordinates with Organizational Development (OD) to book locations, and inspects event facilities and other spaces utilized for events. Creates event layout and coordinates with Environmental Services (EVS) for setup prior to events. Submits catering orders with Food and Nutrition Services (FNS) or external vendors. Partners with Administrative Assistant to maintain inventory of branded giveaway items; forecasts needed supplies for upcoming events and conferences.In tandem with recruitment and leadership, develops, plans, implements, and assesses logistics for all events, including on- and off-site recruitment events, virtual hiring events, and information sessions. Follows up and provides status updates for planning and logistics of events for leadership and recruiters.Maintains and executes annual system event calendar for internal and external events; acts as event lead, sets up and breaks down; tracks cost. Coordinates with marketing liaison for event promotion, including, but not limited to, RSVP management, emails, flyers, texts, calls and digital ads.Forecasts attendance and creates staffing plan, manages registrations, measures success including landing page metrics, email campaign metrics, source analysis, and recruitment event metrics (registrants, applicants, hires, conversion rates, etc.).

Complexity of Work: Requires effective communication and interpersonal skills as well as the ability to work with minimal supervision. Strong organization and project management skills. Must be able to work in a stressful environment and take appropriate action. Comfortable with learning new technologies, computer competency, CRM experience, client contact and relationship building. Ability to manage time, projects, deadlines, and delegate when necessary. Have knowledge of best practices and industry standards in event recruitment, planning, organization, and production in multiple event types in various facility configurations. Social media aptitude; skilled in Microsoft Office suite; familiar with desktop and web-based recruiting platforms and conferencing tools such as Webex, Teams, Skype, Indeed, Brazen, etc.Travel required to attend community events, college job fairs, and conferences. Available to work weekends and evenings, as needed, to conduct hiring events and attend community events/conferences. Required Work Experience: Minimum one (1) year of related experience is required. Recruiting/coordinator experience in event recruitment, planning, organization, and production preferred. Other Information: Additional Education Information: Associate’s degree preferred.
