Overview of job

We are in search of a highly organised, supportive and high performing PA to support Directors across the People & Culture department. The role manages and understands the day to day needs of the Directors, providing full administrative support to enable them to carry out their roles effectively and efficiently. You’re also be responsible for various tasks depending on the needs of the Directors but could include invoices/purchase orders, presentations, events, travel and company initiatives.

In addition, the PA will support the Head of Workspace in terms of basic diary and invoicing and purchase orders.

Measures of success –

  • Built a strong and positive relationship with your Directors

  • Formed a good understanding on the business and how the Directors role is crucial, to ensure you can support effectively

Responsibilities of the role

  • Deliver extensive and detailed diary management, using insight and decision- making skills for rescheduling for the Directors

  • Provide support across the People & Culture team for events including large team meetings, training, socials and workshops

  • Organise and support internal and external meetings in terms of set up/refreshments: booking meeting rooms; make appropriate arrangements for visitors, giving them the best experience

  • Support the Head of Workspace for basic diary and finance admin

  • Plan and project manage delivery of tasks and projects whilst adhering to strict deadlines

  • Efficiently arrange travel, accommodation and entertainment for your Directors’ meetings and trips

  • Effectively manage entire expense claims for Directors (both company credit card & cash)

  • Maintain good practice with integrity and diplomacy, especially in relation to HR and/or people matters

  • Actively maintain filing, photocopying and stationery

  • Act as an integral part of PA community especially for the organising of Company events

  • Provide cover to the CPO and General Counsel in times where their Executive Assistant is on leave

  • Confidence in your skills and your ability to work with strong character individuals is essential

  • Manage expectations brilliantly – this means maintaining a positive approach with a firm, but fair attitude

  • Customer orientated – a proven ability at building and maintaining relationships both internally and externally

  • Demonstrate decision-making and prioritisation skills, with limited input and guidance.

  • A commercial interest and desire to understand the workings of the Company

  • A good sense of document and presentation formatting and layout to a high quality level

  • Keep a cool and level head even when under pressure to deliver

  • A personable individual with a good sense of fun and humour

  • Manage private/sensitive information with integrity and absolute confidentiality

  • Excellent team player, working with the other PAs and Directors in the business

  • Accuracy in numeracy, grammar and sound attention to detail

  • Resilient and tenacious approach, able to manage and prioritise busy workload whilst demonstrating flexibility and working to close deadlines

  • Great administration skills including: strong knowledge of Microsoft or Apple suite of products; track record of picking up new systems knowledge quickly; exceptional eye for detail
