This role provides administrative and execution support to Spain’s Banking senior management, ensuring diligence, appropriate judgment and discretion at all times across a broad and dynamic range of work. The role includes daily interaction with the offices of senior management across the firm, including frequent contact with internal and external stakeholders as required.

The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.

Responsibilities:

  • Directly supports a senior management and the wider department as required
  • Manage all scheduling activity end-to-end, including prioritisation and the timely resolution of diary conflicts, across a diverse and senior stakeholder base
  • Execute all ancillary activity associated with scheduling, including room bookings, refreshments and associated support requests to ensure the smooth running of business activity
  • Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
  • May prepare and review materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system
  • Process and follow-up on Virtual Requests
  • Assists in ad-hoc reports special projects as needed
  • Trains, coaches or guides other administrative staff when required
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Demonstrable experience of supporting the office of a senior business leader
  • The ability to adapt to a range of competing priorities with a professional and committed mindset, whilst maintaining excellent attention to detail
  • An ability to act with the utmost discretion at all times and manage confidential matters with requisite care
  • Proven ability to communicate accurately, both orally and written;
  • Exceptional judgement, particularly the ability to know when to escalate
  • Strong interpersonal skills, particularly the ability to create and maintain effective relationships with a wide range of internal and external stakeholders
  • Excellent knowledge of all Microsoft Office applications, particularly SharePoint and Word
  • Prior knowledge of Citi, including internal organisation and structure, would be a significant benefit
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented

Education:

  • Bachelor's/University degree or equivalent experience preferred
