SUMMARY

The Specialist, Indirect Procurement is responsible for coordinating the procurement of goods and services necessary for the operation of the business unit of the assigned project. Successful candidates have a strong drive to meet deadlines and can manage multiple processes. The Indirect Procurement Specialist will achieve the procurement of goods and services through data gathering, managing the contract process from creation, basic content, edits, legal team coordination of review, to approval signatures. Assisting in managing project and contract timelines are met through communication to the Procurement Managers and Director, as well as relative business unit projects owners, is a critical job function of the Specialist.  

JOB DUTIES

  • Contract Process Management:
    • Responsible for managing the contracting process for corporate business owners in alignment with company strategic and financial objectives in order to drive cost reduction. This includes managing timelines of assigned contracts in queue to ensure that all are completed prior to their deadline, reporting on contracts coming due and working with business owners to complete their contracts.
  • Assist with Project Management:
    • Procuring, sourcing, and assisting in managing projects of other Indirect Procurement team members whenever needed due to workflow and balance.
  • RFP/RFQ Data management assistance:
    • Gathering documentation and various data sources and distributing suppliers to facilitate Request for Bids and Request for Contracts and the evaluation of those bids and contracts.
  • Business Case Data assistance:
    • Responsible for daily or weekly spend analytics and market research intelligence in order to develop business cases using TCO and NPV concepts to deliver measurable cost savings.
  • Internal Business Team Support:
    • Provide data and recommendations to ensure informed selection decisions. Develop and administer agreements and statements of work in collaboration with business and legal department.
  • Vendor Accounting and A/P Support:
    • Working with accounting entities to assist in managing payment terms as well as ensuring open communication with new vendor set-up and vendor information changes.

EDUCATION / EXPERIENCE

Education Minimum: Bachelor's Degree in Business Administration, Finance, Logistics, Supply Chain or related field

Experience Minimum: 2-4 years in procurement and/or contracting

KNOWLEDGE, SKILLS & ABILITIES

  • Possess excellent analytical, quantitative, written, and verbal communication skills.
  • Demonstrate strong organizational, multi-tasking/planning, and time management skills.
  • Be capable of working independently under limited supervision with attention to detail, accuracy, documentation, and follow-through.
  • Have the ability to manage financial data in a confidential and professional manner.
  • Demonstrates effective negotiation skills and understands procurement processes and supplier relationship management.
  • Possess the knowledge and ability to proficiently use Microsoft Office applications, including advanced Excel skills.
  • Strong financial acumen
  • Proficiency in SAP and Coupa is a plus.
