ABOUT THE POSITION
As an Office and Event Senior Specialist, you will be a critical contributor on the Events & Experience Team, working closely with the Head of Events & Experience. You will model operational excellence and be responsible for office management, employee lunch management, event support, and optimization of administrative processes to ensure smooth and efficient use of the ButcherBox office. You will proactively use your outstanding organizational skills and manage competing priorities in a fast-paced environment. You are a strong communicator, problem-solver, systems thinker, and executor.
RESPONSIBILITIES:
Team Culture
•Create activities for team cohesion and collaboration
•Be a creative positive problem solver who brings solutions and strives towards operational excellence
Lunch + Kitchen Management
•Order weekly employee lunches (for Tuesday & Wednesday lunch)
•Set up & breakdown lunches
•Maintain kitchen spaces to ensure clean and fully stocked (example; regular cleaning of refrigerator, leftover management, cup/utensil/plateware inventory management, load/empty dishwasher, etc.)
Snack + Coffee/Tea + Water Station Management
•Maintain inventory of snacks, coffee, teas, filters for water stations, along with misc. food related order mgt (example; alcohol for happy hour, ice, etc.) & set up for employee usage
Maintain Office Space
•Ensure space is tidy, and maintained in working order
•Identify needed repairs and/or updates to the property and act as the main contact for office landlord and manage related communications (example; Office ticket to flag broken items, or special requests (use of loading zone/dropoff area)
•Complete regular workspace walkthrough to restock supplies, collect lost and found items, maintain cleanliness of workspaces, etc.
•Maintain mailroom/office supply closet and event/kitchen pantry (inventory, organization, cleanliness, etc.)
•Manage Mail/Package by regular collection, and sorting, communication to owners
•Manage office supply/norms mgt (maintain pars & manage requests, printer stocking cadence weekly)
Peabody Test Kitchen
•Order test kitchen supplies as needed, visit location at least one time per quarter to ensure space is functional
•Act as main contact for landlord to communications around broken items, for special requests, etc.
Event Planning + Execution
•Support pre-event planning and provide onsite event execution
•Support event and experience team to successfully execute all assigned events while thriving in a fast-paced, high-demand environment
REQUIREMETNS:
•Work onsite at ButcherBox office, located at 1 Kingsbury St., Watertown, MA from 9am – 3pm two times per week (Tuesday & Wednesday, with flexibility based on event schedules)
•Ability to work flexible hours as dictated by event operational needs
•Ability to move and lift 35lbs
•Ability to travel with the event and experience team to event locations as needed
•Excellent attention to detail, communication skills
•Planning & organizational skills
•Familiarity with Microsoft Office suite
•Proactive problem solving skills
