Job Summary:

The Compliance Coordinator is an integral member of the compliance team, working closely with Compliance Leaders, Officers, Auditors, Data Analysts, and other members of the Regulatory and Corporate Compliance teams. The role demands a high degree of organization, attention to detail, and the ability to manage sensitive information with discretion. This position is responsible for coordinating, tracking, and supporting various compliance functions, including compliance and privacy incident management, regulatory change management, conflict of interest management, and documentation. The Compliance Coordinator acts as a central resource for compliance-related concerns and helps foster a culture of transparency, accountability, and continuous improvement throughout the organization.

Core Responsibilities and Essential Functions:

Compliance Hotline / HIPAA Helpline * Distribute Compliance Hotline calls, HIPAA Helpline calls, and other reported compliance and privacy concerns to appropriate Compliance Officer, HR Representative or other appropriate persons/responsible party. Follow up with parties until calls are resolved and closed. * Maintain Hotline & HIPAA call tracking using current tracking reports and eventually tracking in any future tracking platform/software. * Maintain the accuracy of internal compliance logs and databases * Support internal and external compliance audits * Serve as the main point of contact for employees with questions or concerns regarding our compliance policies * Assist with the update of onboarding and training materials for the staff * Assist Facility and Corporate Compliance team with workflows related to minor policy infractions and low-risk privacy issues. Excluded/Sanctioned Individual Check * Manage monthly excluded/sanctioned individual check. * Partner with Sr. Compliance Analyst to investigate and confirm any/all potential positive hits and communicate findings promptly to Compliance leadership to ensure proper escalation and remediation. Compliance Outreach and Documentation * Maintain accurate and accessible storage of logs, artifacts, documentation, work products, etc. * Support requests for Compliance metric data for internal use. * Collaborate with Data Analyst to develop standardized document templates for team use in auditing, corrective action, e-mail and other communications, reporting, etc., in alignment with Wellstar brand standards. * Assist Executive Director, Corporate Compliance with development and distribution of regulatory updates. * Support Sr. Compliance Analyst with management and reconciliation of Compliance Activities calendar. Conflict of Interest Survey * Revise survey questions as indicated by department leadership. * Send out surveys to identified individuals. * Follow up with survey recipients as necessary to ensure surveys are completed as required. * Compile survey results for review by department leadership. Other Duties as Assigned * Support Compliance data management by maintaining proper data hygiene practices with Compliance related incidents, requests, projects, etc. * Provide support and/or backup to Sr. Compliance Analyst when necessary Performs other duties as assigned Complies with all Wellstar Health System policies, standards of work, and code of conduct.

Required Minimum Education:

  • High School Diploma General or Bachelors Health Administration-Preferred

Required Minimum License(s) and Certification(s):

All certifications are required upon hire unless otherwise stated.

    Required Minimum Experience:

    Minimum 3 years Experience working in healthcare in a hospital setting or integrated health system. Required and Minimum 1 year Experience working in or providing support to compliance and/or privacy programs in healthcare. Required Minimum 1 year Experience with the NAVEX EthicsPoint Compliance incident management system. Preferred
