Our mission is to empower building materials suppliers with great technology. There are over $1,000,000,000,000 of building materials bought in the US every year, and many of these transactions happen in on-prem point-of-sale systems. We want to bring these transactions online, enabling better experiences for contractors and homeowners alike.

Key Responsibilities

A. Recruiting

๐Ÿ“Œ Candidate Sourcing: Utilize LinkedIn to source candidates based on feedback from the hiring manager.
๐Ÿ“‹ Application Review: Screen applications, filtering candidates for rejection or progression according to hiring manager input.

B. Finance

๐Ÿ’ป Financial Modeling: Update the companyโ€™s operating plan weekly.
๐Ÿ“Š Bookkeeping: Manage transactions and deliver monthly financial statements (P&L, Balance Sheet, and Cash Flow).
๐Ÿ’ฐ Receivables Management: Ensure accounts receivable (AR) is below 5% of ARR by collecting overdue SaaS payments.

  • Maintain near-zero overdue amounts (61+ days) on the AR Aging Report.

๐Ÿ“ Payables: Ensure all bills are paid promptly and strategically:

  • โš ๏ธ Flag anomalies, negotiate terms, and optimize payments for rewards/rebates

๐Ÿงพ Reimbursements and Mileage: Process employee reimbursements and mileage claims.
โšก Disputes: Handle client payment disputes:

  • Identify clients and sales linked to disputes.

  • Recover funds and communicate outcomes to clients.

  • Maintain records and notes in Stripe.

C. Client Success

โœ… Compliance: Keep Stripe Connected Accounts โ€œRestricted Soonโ€ at zero by following up with clients weekly.
๐Ÿ“„ Reports: Deliver recurring reports to clients based on their required cadence.

D. Sales & Marketing

๐Ÿ“‚ Salesforce Data Management: Update and maintain Salesforce records as directed by Account Executives (AEs).

  • Example: Add Ace Hardware contacts to Salesforce accounts.

โœ๏ธ Client Success Stories: Interview live clients, draft success stories, and publish them on the website.
๐Ÿ“ข LinkedIn Engagement: Publish weekly LinkedIn posts on go-lives, tagging clients, AEs, and including photos.
๐ŸŒ Google Ads: Manage and optimize Google AdWords campaigns.

E. Human Resources (HR)

๐Ÿงฎ Payroll Compliance: Ensure compliance with all state and local payroll tax regulations. Maintain accurate records.
๐Ÿ“ˆ Commissions Management: Calculate and process monthly commissions after securing AE approval.
๐Ÿ‘ฉโ€๐Ÿ’ผ Employee Support: Address employee questions related to benefits and payroll, escalating as necessary.

F. Virtual Assistant Tasks

๐Ÿ“ง Email Management: Organize and respond to emails, flagging high-priority items.
๐Ÿ“† Calendar Coordination: Schedule meetings and appointments, ensuring no conflicts.
๐Ÿ“ Document Preparation: Draft, edit, and format documents or presentations.
๐Ÿ” Research: Conduct ad hoc research tasks and compile data for decision-making.
๐Ÿ› ๏ธ General Administrative Support: Assist with miscellaneous tasks as needed to support the team.

Work Schedule and Compensation

โฐ Hours: 6:00 AM - 2:00 PM Philippine Time, Tuesday to Saturday.
๐ŸŒ™ Occasional Night Calls: Some tasks may require calls during US working hours.
๐Ÿ’ต Pay: $175 per week.
๐Ÿ“œ Contract Type: Independent contractor (responsible for managing own taxes).
