Position Overview: The Program Manager Site Operations is a pivotal role designed to provide high-level support to the Senior Director, Head of Site Operations, CPS. Acting as a strategic partner, this role ensures the seamless execution of daily operations, communication, and project management activities across the Central Pharmacy Services network. This role also includes managing cross-functional operational projects, driving continuous improvement initiatives, and acting as a central point of coordination across the sites.

Key Responsibilities
Continuous Improvement & Performance Metrics
· Develop and monitor KPIs across different production levels, analyze data, and report findings to leadership.
· Lead and facilitate continuous improvement projects (e.g., SMED, Kanban, waste reduction).
· Implement systems such as idea-generation platforms, selecting and promoting innovative solutions, and supporting their deployment across teams.
· Act as a liaison for Industry X.0 initiatives, including automation, AI, data integrity, and other digital transformation projects.
Operational Coordination & Project Management
· Coordinate and manage cross-functional projects within production and site operations, including:
o Standardizing best practices across sites.
o Optimizing existing operational processes and workflows.
o Investigating and resolving operational issues, including quality incidents and corrective actions.
· Track the progress of strategic initiatives and operational metrics in collaboration with site leaders.
· Organize and coordinate site visits, preparing agendas, follow-up action plans, and quality-related reviews.
· Act as the point of contact for cross-functional activities such as training programs and communication initiatives.
Strategic Planning & Data Analytics
· Partner with leadership to analyze operational data, identifying trends, risks, and opportunities for improvement.
· Prepare detailed reports and dashboards for decision-making, including KPIs and financial performance metrics.
· Support the annual planning and budgeting process by coordinating input from site operations and ensuring alignment with strategic goals.
· Assist in resource planning and capacity management across sites to ensure optimal performance.
Stakeholder Engagement
· Facilitate communication between the Senior Director and site leaders, ensuring clarity and consistency of messages.
· Coordinate cross-functional collaboration by organizing and attending key meetings, taking minutes, and ensuring action items are completed.
· Support onboarding and leadership development programs in collaboration with HR and site administration.
Event Planning & Coordination
· Organize Town Halls, leadership retreats, and team-building events.
· Coordinate travel arrangements and logistics for multi-site meetings or conferences.
· Prepare presentations and materials for strategy sessions, ensuring alignment with organizational goals.
Administrative Support
· Act as the primary point of contact for internal and external communications, ensuring timely responses and professional representation.
· Draft, proofread, and organize reports, presentations, and correspondence.
· Maintain organized and accessible documentation and records related to ongoing projects and initiatives.
What You’ll Need:
· Proven experience in a high-level administrative or coordination role, preferably supporting senior leadership in a multi-site organization.
· Strong organizational and time-management skills with the ability to prioritize multiple tasks in a fast-paced environment.
· Exceptional communication skills, both written and verbal, with the ability to craft professional correspondence and presentations.
· Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
· Familiarity with Lean Six Sigma or other continuous improvement methodologies (e.g., SMED, Kanban) is an asset.
· Experience with operational project management and digital transformation tools (e.g., MES, electronic records).
· Demonstrated ability to handle sensitive and confidential information with discretion.
· Bachelor's degree in business administration or a related field is preferred but not required.
· Nice to have: bilingual proficiency in English and French.
